POSITION OVERVIEW

The Payroll & Benefits Coordinator is responsible for the accurate and timely processing of multi-state payroll, administration of employee benefits, and HRIS support functions. This role supports both field and office employees by ensuring payroll accuracy, benefits administration, compliance with federal and state regulations, and maintenance of employee records.

The Payroll & Benefits Coordinator serves as a key point of contact for payroll, benefits, leave of absence, and employee inquiries while maintaining confidentiality and delivering excellent customer service in a fast-paced construction environment.

PRIMARY RESPONSIBILITIES

  • Process weekly payroll for hourly and salaried employees across multiple states, including timecard review, job and cost coding, and audit for accuracy.
  • Issue off-cycle and manual checks as needed for corrections, terminations, or special pay situations.
  • Ensure payroll compliance with federal, state, and company policies and regulations.
  • Process garnishments, child support orders, and other involuntary deductions.
  • Validate and process per diem, travel pay, vehicle allowances, and expense reimbursements.
  • Partner with Project Managers and Coordinators to ensure timecards are completed and approved by payroll deadlines.
  • Respond to employee payroll inquiries and resolve discrepancies in a timely manner.
  • Maintain confidentiality of sensitive payroll and employee information.
  • Generate payroll reports for Operations, Finance, and Leadership.
  • Maintain accurate employee data in the HRIS system, including pay rates, job classifications, and work locations.
  • Assist with HRIS upgrades, implementations, testing, and troubleshooting.
  • Serve as a primary point of contact for employees on benefits, leave of absence (LOA), accommodations, and COBRA.
  • Administer benefit enrollments, changes, and terminations, and coordinate benefits continuation and reconciliation for employees on leave.
  • Reconcile monthly benefit invoices and payroll-deducted contributions to 401(k), HSA, and FSA accounts.
  • Support annual open enrollment, benefit communications, wellness initiatives, and ongoing employee education.
  • Support payroll, benefits, and HR compliance audits, including year-end reporting (W-2, ACA/1095).
  • Create and maintain SOPs and documentation related to payroll and benefits processes.
  • Perform other duties as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE: SPECIALIZED KNOWLEDGE AND SKILLS:

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field preferred.
  • 2 years of payroll, benefits administration, or HR-related experience.
  • Experience processing multi-state payroll and working with job costing preferred.
  • Experience using HRIS systems such as UKG.
  • Knowledge of payroll laws, labor regulations, and benefits administration.
  • Strong knowledge of leave management processes including FMLA, STD, and LTD.
  • Experience with open enrollment, ACA reporting, and employee benefits administration preferred.
  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality and professionalism.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and critical-thinking abilities.
  • Advanced Microsoft Excel skills preferred.
  • Ability to effectively prioritize and manage multiple deadlines in a fast-paced environment.

EQUIPMENT & APPLICATIONS /WORKING CONDITIONS & PHYSICAL DEMANDS:

  • Sitting for Extended Periods – Working at a desk for long hours while using a computer or handling paperwork.
  • Typing and Computer Use – Frequent use of a keyboard and mouse for emails, reports, and data entry.
  • Reading and Reviewing Documents – Reviewing paperwork, invoices, schedules, and reports, which may cause occasional eye strain.
  • Repetitive Hand and Finger Movements – Engaging in repetitive tasks such as typing, writing, and using office equipment (printers, fax machines, telephones).
  • Light Lifting and Carrying – Moving office supplies, files, or small packages, typically weighing up to 10-25 lbs.
  • Walking and Standing – Moving within the office, attending meetings, or filing paperwork.
  • Reaching and Bending – Occasionally stretching, bending, or reaching for office supplies, filing cabinets, or shelves.
  • Talking and Hearing – Frequent verbal communication in person, over the phone, and in virtual meetings.
