What are the responsibilities and job description for the Service Billing Coordinator position at JTEKT MACHINERY AMERICAS CORPORATION?
Provides administrative and customer service support by preparing financial documents, coordinating service requests, resolving escalated issues, and managing inquiries through field-management and phone systems. Analyzes information to create reports and presentations while maintaining strong relationships with customers, staff, and business partners.
This role is an on-site position in our Arlington Heights, IL office.
Key Responsibilities
- Prepare quotations, requisitions, and documents related to customer account set up, invoicing, accounting, expense reporting and/or payroll
- Communicate with local and remote customers/staff regarding billing disputes, scheduling, material control, and project tasks
- Monitor on-site fulfillment of customer requests by using a cloud-based field management system
- Communicate with area management regarding escalated issues and the progress of their resolution
- Assist all internal and external customers who are seeking transactions that require resources from the service department
- Accurately route and/or directly address initial customer inquiries
- Prepare reporting and presentations by collecting and analyzing information and trends
- Maintain relationships with contacts from frequent customer and partner companies
- Performs other related duties as assigned.
Minimum Qualifications
- High school diploma or equivalent (GED, etc.)
- 3-5 year(s) of experience/training with basic accounting functions / bookkeeping
- 3-5 year(s) of experience/training with a cloud-based field service management system (FSL/Salesforce, Epicor ERP) is highly desired
- 3-5 year(s) of experience/training with advanced customer service concepts and project management
- Intermediate proficiency with the Microsoft suite of products (Outlook, Word, Excel, PowerPoint, etc.)
Preferred Qualifications
- Post-secondary degree/certificate or license in a field of study related to customer service
- 1 year(s) of experience/training using a multi-line phone system (VoIP) in an administrative/support role is highly desired
