My client, an Ultra-High-Net-Worth Family Office based in NYC is looking for an Assistant to support the Finance Team including the Sr. Controller, Head of Tax and General Counsel.
In this position your responsibilities will include but not limited to the following:
• Perform general administrative responsibilities such as answering phones, maintaining calendars and contacts and scheduling conference calls
• Coordinate and schedule meetings, including reserving conference rooms, greeting guests,
coordinating catering and compiling meeting materials and agendas
• Track and report expenses
• Upload documents and files into the company’s document management system and review for accuracy
• Coordinate travel, including flights, ground transportation, hotels, procuring visas, etc.
• Prepare and process payments, including wire transfers, ensuring accuracy, timeliness and
preparation of proper supporting documentation
• Organization, collation and maintenance of financial documentation including financials statements and tax filings
• Conduct research as requested
• Prepare written general correspondence
• Independently follow up on outstanding items
• Provide backup support and work productively with other Executive Assistants
• Assist in ad hoc and special projects
• Assist with general office duties such as tracking employee vacation days and coordinating with HR and IT
Required Skills and Qualifications:
- Bachelor’s Degree
-1 to 10 years related administrative experience, preferably financial services
-Experience with Accounts Payable and Wire Transfers
-Exceptional knowledge and experience working with Microsoft Office (Outlook, Word, Excel & PowerPoint) as well as Zoom
- Tech-savvy and willing/able to learn new IT systems and platforms
Salary : $100,000 - $150,000
