Job Summary
We are seeking a proactive and organized TEMPORARY Office Assistant to join our dynamic team. As a key support member of our office, you will help handle a variety of clerical and administrative duties to ensure smooth daily operations.
****This position is temporary and will begin mid July and last for approximately 8 weeks.
Responsibilities
Administrative & Office Operations
- Manage daily office operations and workflow
- Answer and route phone calls, emails, and customer inquiries
- Maintain organized digital and paper filing systems
- Schedule meetings and coordinate office calendars
Customer Service & Communication
- Serve as the primary point of contact for customers
- Schedule estimate meetings with customer and estimator
- Make follow up calls on pending estimates
- Handle customer questions, complaints, and service requests professionally
- Prepare and send customer correspondence (emails, letters, notices)
- Maintain accurate customer records in a CRM software
Scheduling & Job Coordination
- Add jobs to a schedule
- Communicate schedule changes due to weather or job delays
- Track purchase orders and job related expenses
- Coordinate and verify utility locates prior to the start of each project
- Track completed jobs and ensure paperwork is returned
Seasonal & Weather-Related Duties
- Communicate weather delays or emergency services to customers
- Assist with seasonal startup and shutdown operations
General Support
- Provide administrative support to ownership and management
- Manage marketing mailers, email communications, and social media
Pay: $18.00 - $20.00 per hour
Work Location: In person
