What are the responsibilities and job description for the Patient Care Coordinator/Treatment coordinator position at JRA Dental?
Patient Care Coordinator
We are looking for an organized, outgoing, motivated, and dependable Dental Treatment Coordinator to join our team. This position plays an important role in helping patients understand their recommended dental treatment, coordinating financial arrangements, and ensuring patients move forward with the care they need.
The ideal candidate is confident communicating with patients, presenting treatment plans, discussing insurance benefits and financial options, and helping patients overcome barriers that may prevent them from moving forward with recommended treatment.
We are looking for someone who is proactive, detail-oriented, and comfortable working in a fast-paced dental office while maintaining a positive and professional patient experience.
Responsibilities
- Present and review dental treatment plans with patients, ensuring they understand their recommended procedures, estimated costs, and available financial options.
- Review insurance benefits, coverage limitations, estimated insurance payments, and patient financial responsibility.
- Explain treatment estimates clearly and confidently while answering patient questions regarding costs and payment options.
- Discuss available financing options and payment arrangements to help patients move forward with recommended treatment.
- Coordinate with doctors and clinical staff to ensure treatment plans are accurate and properly communicated to patients.
- Educate patients on the importance of completing recommended dental treatment and the potential consequences of delaying care.
- Follow up with patients who have unscheduled or outstanding treatment plans and assist them with scheduling.
- Maintain and actively work the unscheduled treatment report to encourage patients to move forward with recommended care.
- Help maintain a full and productive doctor schedule by identifying opportunities to schedule outstanding treatment and fill cancellations.
- Assist patients with scheduling treatment appointments while considering appointment lengths, provider availability, and treatment priorities.
- Obtain and review insurance preauthorizations and predeterminations when necessary.
- Ensure treatment estimates and financial arrangements are reviewed and documented prior to scheduled appointments.
- Communicate effectively with doctors, dental assistants, scheduling coordinators, and other front-office team members regarding patient treatment needs.
- Address patient concerns, financial objections, and scheduling barriers with professionalism and confidence.
- Maintain accurate documentation of treatment presentations, financial discussions, patient communication, and follow-up efforts.
- Build strong relationships with patients by creating a welcoming, supportive, and professional experience.
- Work toward office production goals by helping patients understand and schedule their recommended treatment.
What We're Looking For
- Strong communication, customer service, and interpersonal skills.
- Confident presenting treatment plans and discussing financial responsibility with patients.
- Comfortable speaking with patients both in person and over the phone.
- Strong understanding of dental terminology, procedures, and treatment planning.
- Knowledge of dental insurance benefits, coverage limitations, and patient estimates.
- Comfortable discussing financing options and helping patients navigate financial concerns.
- Organized and able to manage multiple treatment plans, follow-ups, and scheduling priorities.
- Proactive and motivated — someone who consistently follows up on unscheduled treatment rather than waiting for patients to call.
- Confident addressing patient questions, concerns, and objections while maintaining a positive patient experience.
- Strong attention to detail and accuracy when reviewing treatment plans and financial estimates.
- Dependable, punctual, and able to manage responsibilities independently.
- Able to work efficiently in a fast-paced dental office.
- Team-oriented with a positive and professional attitude.
- Previous dental treatment coordination or dental front-office experience preferred.
- Experience with dental practice management software and insurance verification preferred.
