Job Summary: The Board Coordinator is an administrative professional that prepares, reviews, and finalizes meeting notices and agendas for the Board of Managers (BOM) and related committees of JPS Health Network. The Board Coordinator organizes and coordinates with executives to facilitate timely, efficient and effective action on the agenda process. The Board Coordinator serves as the primary resource for tasks related to maintaining document control and tracking of special projects related to the BOM.
Essential Job Functions & Accountabilities:
- Prepare meeting agendas for BOM and related committee meetings.
- Review and proofread agenda items to ensure consistency.
- Coordinate catering and meeting room set up with the Catering and Environmental Services Departments.
- Maintain written guidelines for agenda preparation as a reference guide for staff.
- Meet regularly with leadership to review draft agenda and meeting material prior to posting meeting agenda.
- Ensure posting of agendas with Tarrant County Clerk’s Office and Communications Department for the public website.
- Attend all BOM and committee related meetings.
- Prepare Minutes and Reports for meetings as well as maintains electronic copies of all minutes in compliance with audit requirements, including preparation and tracking of all Board related agenda, resolutions and activities during meetings in conjunction with the Legal Ops Manager.
- Create meeting(s) timeline, prepare and distribute meeting notifications, correspondences and agenda materials in coordination with the Legal Ops Manager.
- Manage obtaining signatures from Board and Committee Chairs for meeting Minutes, Resolutions, Certifications, etc.
- Assist with the preparation of resolutions, reports and other official documents as directed by leadership.
- Maintain a positive, responsible attitude for the department activities and individual work. Conducts everyday operations with minimal supervision or guidance.
- Provides exceptional customer service in conversations, follow-up and follow through; responds in a timely manner for any requests, phone calls and emails; exercises attention to detail for incoming and outgoing information.
- Serves as project coordinator for related projects and obligations to the BOM.
- Manage correspondence (written, verbal, and electronic) for BOM and committees to include meeting notices and calendar invites.
- Assists with special projects and performs other related functions delegated or assigned.
- Creates, updates, distributes and files BOM communications and documentation.
- Assists with creation, disbursal, and storage of board booklets.
- Maintain the most recent version of the By-Laws, enforce the By-Laws, polices, resolutions and procedures as it relates to the BOM and related committees.
- Post and update meeting materials and Board approved documents on the Board Portal and related websites.
- Assist with the preparation of Commissioners Court Communication, for documents that require approval by the Tarrant County Commissioners Court.
- Maintains discretion and confidentiality in relationships with all board members and leadership staff.
- Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
- Coordinates Annual Board Holiday Event.
