We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy electrical contracting business. This pivotal role involves working very closely with the owner with the scheduling of jobs, overseeing administrative functions, managing vendor relationships, coordinating events, supervising staff, and ensuring smooth office workflows. The ideal candidate will possess exceptional communication and organizational skills, a proactive attitude, and a passion for creating an efficient and welcoming workplace. As an Office Manager, you will play a key role in maintaining operational excellence and supporting our team’s success.
Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure seamless communication and workflow.
- Coordinate and plan company events, meetings, and training sessions to foster team engagement and professional development.
- Supervise administrative staff, providing guidance on clerical tasks such as filing, and document management.
- Manage vendor relationships for office supplies, equipment maintenance, and other services to ensure cost-effective procurement and reliable support.
- Oversee budgeting activities related to office expenses and ensure adherence to financial plans.
- Maintain accurate records of all office activities, including filing systems and documentation for medical or specialized office environments if applicable.
- Ensure excellent phone etiquette and communication standards across the organization to promote professionalism.
- Support office protocols and assist with training & development initiatives to enhance team skills.
Experience
- Proven experience in office management or administrative roles within a professional setting.
- Supervising experience with a demonstrated ability to lead teams effectively.
- Proficiency in QuickBooks or comparable bookkeeping/accounting software is essential.
- Strong background in event planning, schedule management, vendor management, and human resources functions.
- Experience managing multi-line phone systems, calendar coordination, and front desk operations.
- Familiarity with medical office management or specialized administrative environments is a plus.
- Excellent organizational skills with attention to detail in filing, record-keeping, and clerical tasks.
