Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills and the ability to multitask in a fast-paced environment. As an Administrative Assistant, you will provide support to the office by handling various administrative tasks and ensuring the smooth operation of daily activities including Accounts Payable and Joint Interest Billing duties.
Responsibilities
- Speak directly with vendors about balances, invoices, timing of payments, etc.
- Pay invoices through our accounting system (printing checks, sending ACH/Wires)
- Handle daily cash duties to report the daily cash balance from the previous day to management
- Participating in Monthly AP Meetings
- Assisting accounting department at any capacity needed
- Prepare and analyze monthly Joint Interest Billing (JIB) statements for various joint ventures.
- Process monthly JIB statements to/from working interest owners.
- Ensure that expenses are properly recorded and coded.
- Reconcile general ledger accounts related to JIB accounting, including accounts payable.
- Handle all AFE needs, assign AFE numbers, post in the accounting program/ AFE excel spreadsheet and budget for each AFE number.
- Maintain and track operated and non-operated well payouts.
- Monitor the status of joint venture agreements and maintain an understanding of the terms and conditions of each agreement.
- Provide financial analysis and reporting to management, including budget versus actual analysis and variance analysis.
- Ensure compliance with regulatory requirements and internal controls related to JIB accounting.
- Participate in the month-end close process and prepare journal entries as needed.
- Assist with special projects and other duties as assigned by management.
Skills
- Proven working experience as accounts payable clerk (or accounts receivable clerk)
- Solid understanding of basic bookkeeping and accounting payable principles
- Proven ability to calculate, post and manage accounting figures and financial records
- Data entry skills along with a knack for numbers
- Proficiency in MS Office
- High degree of accuracy and attention to detail
Pay: From $18.00 per hour
