Our team is seeking a detail-oriented Tenancy & Legal Specialist to support tenancy operations in our Hackensack, NJ office. This role will primarily focus on overseeing the lease renewal process and tenant account management.
Key Responsibilities
- Coordinate and execute lease renewal processes, including preparing renewal documents, updating tenant records, and ensuring timely execution of lease agreements.
- Track lease expirations and proactively follow up with tenants regarding renewal options and documentation.
- Maintain communication with rental assistance agencies and assist in submitting required paperwork, including annual recertifications and rent adjustments.
- Collections: follow-up with current and past tenants to collect payments from overdue accounts.
- Generate and distribute balance due letters.
- Provide customer service related to billing, payments, and account status for tenants.
- Assist in preparing and distributing tenant notices, memos, and compliance-related communications.
- Organize and maintain spreadsheets related to subsidies, tenant payments, and lease renewal workflows.
- Support Property Managers with operational data management and budgeting reports.
- Assist in invoice coding, payment processing, and tenant credit requests with management approval.
- Maintain and enter history notes of tenant communications in property management software.
- Perform other duties as assigned by management.
- 1 years of experience in property management and tenant relations. Also willing to train for the right candidate!
- Bilingual in English and Spanish required.
- Ability to work independently while collaborating effectively with property managers, co-workers, legal counsel, and government agencies.
- Experience with affordable housing and working with rental assistance programs preferred but not required
- Strong organizational and analytical skills, with high attention to detail.
- Ability to manage deadlines, documentation, and multiple priorities.
- Proficiency in property management software and Microsoft Office (Excel, Word, Outlook).
- Professional communication skills (written and verbal).
