Front Desk/Receptionist (Bilingual English/Portuguese)

About the Position
We are seeking a highly organized, professional, and client-focused Receptionist to join our growing immigration law office. This position will work directly with the Executive Assistant and Operations Manager to support daily office operations and ensure an exceptional client experience.
The ideal candidate is detail-oriented, comfortable handling sensitive information, and enjoys working in a fast-paced environment while providing outstanding customer service.
Key Responsibilities
- Answer and manage incoming client phone calls professionally and efficiently
- Schedule consultations and appointments for attorneys
- Respond to client inquiries via email, phone, and WhatsApp
- Collect and process client payments
- Handle confidential and sensitive immigration-related information with discretion
- Scan, organize, and upload documents into the firm's case management system
- Maintain accurate records and client communications
- Assist the Executive Assistant and Operations Manager with administrative and operational tasks as needed
Qualifications
Required:
- Authorized to work in the United States
- Fluent in both English and Portuguese (written and spoken)
- Strong communication and customer service skills
- Excellent organizational skills and attention to detail
- Ability to handle confidential information professionally
- Proficiency with computers and common office software
Training & Development
We are committed to investing in the right candidate and are willing to provide training on our office procedures, systems, and immigration-related processes. Prior immigration law experience is not required.
However, candidates should possess at least a basic understanding of professional client communication, customer service, and appointment scheduling. The ideal applicant should feel comfortable interacting with clients, managing calendars, and maintaining a professional and organized approach in a fast-paced office environment.
