Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our dynamic team. The ideal candidate will possess strong organizational skills and a commitment to providing exceptional administrative support. This role involves managing office tasks, assisting with customer inquiries, and ensuring smooth daily operations.

Responsibilities

  • Provide front desk support, greeting visitors and managing multi-line phone systems with professionalism and courtesy.
  • Assist in office management tasks, including filing, data entry, and maintaining organized records.
  • Utilize Microsoft Office and Google Workspace for document preparation, calendar management, and correspondence.
  • Perform bookkeeping duties as needed, including basic accounting tasks using QuickBooks.
  • Support customer service efforts by addressing inquiries and providing information in a timely manner.
  • Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
  • Manage scheduling and appointments for team members while ensuring efficient time management.
  • Maintain confidentiality of sensitive information while handling clerical tasks.
  • Collaborate with team members to enhance office efficiency and workflow.

Requirements

  • Proven experience in an administrative role or similar position is preferred.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks is a plus; bookkeeping experience is advantageous.
  • Excellent organizational skills with the ability to manage multiple tasks effectively.
  • Strong typing skills and attention to detail for accurate data entry and filing.
  • Bilingual candidates are encouraged to apply; proficiency in additional languages is a valuable asset.
  • Demonstrated customer service skills with a focus on providing support and assistance to clients.
  • Experience as a dental receptionist or medical receptionist is beneficial but not required.
  • Ability to maintain phone etiquette while handling calls professionally in a fast-paced environment.
