Joski Insurance is a dynamic, client-focused team dedicated to providing exceptional service. We are looking for an organized, energetic, and proactive Administrative Assistant to join our team. In this role, you will be the face and voice of our local branch in Fruitland, keeping our office running smoothly and acts as the ultimate support system for our two local Fruitland agents.
Position Summary
As our Administrative Assistant, you will wear two important hats: ensuring our clients receive a warm, seamless experience from their very first phone call, and providing dedicated administrative backup to our two busy field agents. The ideal candidate is a competent scheduler, a clear communicator, and someone who thrives on keeping things organized.
Key Responsibilities
- Client Experience & Front Office: Answer incoming phone calls with a friendly, professional demeanor; route calls, take detailed messages, and greet in-person clients.
- Calendar & Scheduling: Manage and optimize the daily calendars for our two Fruitland agents, including scheduling client consultations, follow-ups, and internal meetings. You will likely schedule appointments for our other agents as needed.
- Agent Support: Serve as the primary point of contact and administrative lifeline for our two local agents. Prepare documents, update client files, track deadlines, and handle routine correspondence to keep them focused on their clients.
- Data & File Management: Maintain accurate, up-to-date client records in our system and assist with basic digital filing and organization.
- General Administration: Keep track of office supplies, handle incoming/outgoing mail, and assist with special projects as needed.
Qualifications & Skills
- Experience: 1–2 years of experience in an administrative, receptionist, or customer support role preferred.
- Communication: Exceptional verbal and written communication skills—you’ll be talking to clients and agents all day!
- Tech-Savvy: Proficiency with standard office software (e.g., Microsoft Office, Google Workspace) and an ability to quickly learn scheduling/CRM tools.
- Organization: High attention to detail with the ability to prioritize tasks in a fast-paced environment.
- Proactive Mindset: A "can-do" attitude with the ability to anticipate the needs of remote or busy agents.
- Local Knowledge: Familiarity with the Fruitland-New Plymouth; Payette-Weiser; Cambridge to Council area is a definite plus.
