Duties include completing administrative tasks related to medical scheduling, insurance and medical supply needs, completing paperwork with youth for preparation to see providers, including medical history. High School diploma (or equivalent). Two years of experience in a health clinic or related organization or specialized training in medical services; or any satisfactory combination of experience and training which demonstrates the knowledge, skills, and ability to perform the above-described duties.
CERTIFICATES, LICENSES, REGISTRATIONS
Possession of or ability to obtain a valid Oregon Driver’s License, comprehensive automobile insurance and a safe driving record. Attend on-going training as required. BACKGROUND INVESTIGATION
Those employed in this position are subject to drug testing and background investigation including criminal background investigation. Conviction of a crime may disqualify an individual for this position. Must pass and maintain Criminal Justice Information Systems (CJIS) security clearance. Individuals in this position are required to receive and maintain approval for employment in the position from the Department of Human Services Criminal Record Unit.
- Support department communication and correspondence regarding youth services.
- Establish rapport by demonstrating and maintaining clear, consistent, appropriate and therapeutic boundaries.
- Actively utilize, reference and follow policies and procedures as set forth by Turning Point Residential and Josephine County Juvenile Department.
- Adhere to Oregon Revised Statutes and standards of care.
- Make mandatory reports to the appropriate agencies when allegations of abuse, neglect, PREA incidents or sexual contact are made by detention or residential youth.
- Ensure compliance with all regulations pertaining to record management. (i.e., HIPAA)
- Monitor, maintain and organize assigned work areas medical inventory, equipment, and supplies.
- Coordinate with the facility’s medical and mental health providers.
- Prepare youth for meetings with providers by assisting in registration/intake paperwork.
- Help coordinate care by initiating referrals, scheduling and tracking appointments.
- Coordinate transportation or transport youth to attend appointments.
- Coordinate with local pharmacy or source for youth medication refills or other health care needs for delivery or pick-up.
- Youth insurance coordination, including support for the submission of department applications for insurance and facility compliance and post release notification.
- Organize files, catalog materials, gather data, post, sort and maintain records.
- Operate computer to access various files and programs.
- Type forms, letters, memos, reports and file cards; make copies.
- Assemble, run and prepare a variety of reports from multiple sources.
- Provide excellent customer service: in-person, over the phone, and virtually.

- Knowledge of Windows and applications such as Microsoft Word and Excel.
- Basic knowledge of the medical clerical process involved in the operation of an office preferred.
- Ability to communicate effectively both verbally and in writing; work tactfully and patiently with youth within a secure environment.
- Basic knowledge of medical assistance process for clinical settings and data collection is preferred.
- Knowledge of use of basic medical equipment; cleaning and infection control associated with equipment.
- Excellent, proven organizational and communications skills with the ability to interact with a variety of people; must be understanding, respectful and non-judgmental at all times when in contact with youth, parents, employees and collaborating agencies.
- Ability to be flexible and work under pressure.
- Ability to recognize when to refer youth for further care.
