Operations Dispatcher & Safety Coordinator (CDL-P Required)
Location: Medford, MA 02155
Schedule: Monday – Friday, 12:00 PM to 8:00 PM
(Note: While regular dispatch hours are set, this role requires 24/7 on-call accountability to manage major safety incidents and emergencies).
Compensation: $65,000 - $80,000/year based on experience & CDL
About the Role
We are seeking an organized, tech-savvy Operations Dispatcher & Safety Coordinator to support our afternoon and evening transportation routes. In this dual-role, you will be the primary dispatcher monitoring daily bus routes while also taking full ownership of driver safety, training, and DOT compliance. The ideal candidate has experience in passenger transportation, is comfortable navigating fleet software, and enjoys coaching drivers on safety protocols. If you are a strong multitasker who can calmly handle a busy dispatch board and take 24/7 ownership of our fleet's safety and emergency response, we want you on our team.
Key Responsibilities
Safety Ownership & Incident Response
- Take 24/7 ownership of fleet safety, serving as the primary on-call escalation point for vehicular accidents, passenger incidents, and severe road emergencies.
- Coordinate the initial scene response by guiding drivers through proper protocols and contacting emergency services if needed.
- Secure dashcam footage, conduct initial incident documentation, and ensure all required DOT drug/alcohol testing protocols are initiated.
- File detailed internal incident reports for management and insurance processing.
Dispatch & Daily Operations
- Monitor live GPS and in-vehicle technology (Samsara) to track fleet movements, ensure on-time performance, and communicate route updates to drivers during your 12 PM - 8 PM shift.
- Answer incoming calls, handle customer and staff inquiries, and direct daily communications professionally.
- Schedule drivers, assign daily routes, and coordinate vehicle swap-outs when maintenance issues arise.
- Oversee yard organization, assist drivers with safe parking, and ensure vehicles are fueled and ready for service.
Driver Training & Coaching
- Conduct onboarding and ongoing training for drivers regarding safety and compliance.
- Train staff thoroughly on the safe, compliant operation of ADA lifts, ramps, and wheelchair securements.
- Lead safety protocol training, including defensive driving, pre-trip/post-trip inspections, and hazard awareness.
- Review Samsara dashcam footage to provide constructive feedback and safety coaching to the driving team.
Compliance & Administration
- Verify all e-logs, vehicle safety checks, and regulatory documentation before and after shifts.
- Assist in maintaining compliance with DOT, FMCSA, and Massachusetts DPU regulations.
- Coordinate with maintenance systems (Fleetio) to log vehicle status.
- Support administrative functions, including reservations, billing, payroll, and related paperwork.
What We’re Looking For
- Licensing: Valid CDL (Class A or B) with a Passenger (P) endorsement (not required, but a plus)
- Systems Experience: Experience with Samsara (required) and familiarity with MS Office and scheduling softwares. Fleetio experience is a plus.
- Industry Experience: 3 years in Passenger Transportation Operations, Dispatch, and DOT/FMCSA compliance.
- Incident Handling: Calm under pressure with experience guiding drivers through real-time road emergencies and a willingness to own safety outcomes 24/7.
- Training Skills: Strong ability to teach and encourage drivers, particularly regarding ADA compliance and safety.
- Work Style: Highly organized multitasker who thrives in a fast-paced dispatch environment.
