- Greet visitors at the front desk with enthusiasm, providing a warm and professional first impression
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Assist with bookkeeping activities using QuickBooks, Ajera or similar accounting software to track expenses and invoices
- Provide customer support by responding to inquiries promptly via phone or email, ensuring excellent service
- Maintain office supplies inventory, order necessary materials, and ensure the office environment remains organized and efficient
- Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
- Strong computer literacy including data entry, typing speed, and familiarity with office equipment such as multi-line phones and printers
- Bilingual abilities are highly desirable but not required to serve diverse client needs effectively
- Previous experience as a receptionist or medical/dental receptionist is a plus; personal assistant experience is also valued
- Knowledge of bookkeeping tools like QuickBooks or similar software is preferred but not required
