EXECUTIVE ASSISTANT
Location: Dallas-Fort Worth, Texas
Office Location: Mansfield, Texas
Schedule: Hybrid | In–office, Monday– Thursday | Work from Home Friday
Salary: $72,000 – $85,000 annually

As our firm continues to grow, we're creating a brand new Executive Assistant position that will play a key role in supporting our President and strengthening the systems that keep our business moving forward.

Reports to: Office and Operations Manager
Works directly with: President
WHAT YOU’LL DO
As Executive Assistant, you'll work closely with our President and leadership team to keep priorities organized, projects moving, and business operations running smoothly.
EXECUTIVE SUPPORT
- Coordinate the President's calendar alongside the Office and Operations Manager to balance project deadlines, meetings, travel, and business priorities.
- Anticipate scheduling needs and proactively resolve conflicts.
- Support executive administrative functions and day-to-day coordination.
PROJECT ADMINISTRATION
- Prepare, package, and distribute project specifications with exceptional accuracy and attention to detail.
- Help ensure project deliverables are organized and completed on schedule.
TRAVEL COORDINATION
- Coordinate executive and team travel alongside our dedicated travel agent.
- Manage itineraries, registrations, accommodations, and travel logistics.
CRM & BUSINESS DEVELOPMENT
- Manage and maintain our CRM system.
- Build organized sales processes, coordinate follow-up activities, and help strengthen our client relationship pipeline.
- Keep client information accurate, organized, and actionable.
CONTINUING EDUCATION AND INDUSTRY OUTREACH
- Coordinate continuing education presentations and speaking engagements for our President.
- Communicate with architectural firms, manufacturers, and industry organizations to schedule presentations and educational opportunities.
HUMAN RESOURCES SUPPORT
- Support hiring and recruitment efforts.
- Help build and implement HR systems, policies, and processes.
- Provide additional HR and accounting support as needed.
- Assist with administrative tasks that support a positive employee experience.
YOUR FIRST 90 DAYS
You'll begin by learning our business while taking ownership of several key responsibilities, including:
- Packaging project specifications
- Managing and organizing our CRM
- Coordinating the President's calendar and priorities
WHAT SUCCESS LOOKS LIKE AFTER ONE YEAR
After your first year, you'll have:
- Mastered our specification packaging process.
- Built reliable systems for CRM management, sales tracking, and client follow-up.
- Created seamless scheduling processes for executive and team travel.
- Become a trusted partner who keeps administrative details running effortlessly.
- Developed strong relationships throughout the AEC industry while coordinating continuing education presentations and speaking engagements.

QUALIFICATIONS
- Bachelor's degree preferred or equivalent professional experience.
- Five or more years of executive administrative, operations, or office management experience.
- Excellent written and verbal communication skills.
- Strong organizational and project coordination abilities.
- Proficiency with Microsoft Office and CRM platforms.
- Ability to manage confidential information with discretion.
- Experience supporting executives in a fast-paced professional environment is required.
