The Administrative Assistant/Accounting Clerk serves as a primary point of contact for Chamber members and visitors. This role is responsible for providing professional, welcoming, and responsive service to everyone who contacts or visits the Chamber as well as routine clerical, filing, and data entry tasks for accounting data including accounts payable, billing, and receivables.

Duties/Responsibilities:
- Serve as first point of contact for Chamber members and visitors.
- Answer multi-line phone system in a timely manner, taking messages, providing information and/or directing calls to appropriate staff members. Follow established procedures for handling calls.
- Process incoming and outgoing mail. Assist with mass mailings and other mailing-related projects as needed. Assist in maintaining accurate membership records in the designated Chamber database.
- Maintain the meeting room calendar and ensure all meeting spaces are properly scheduled, set up, reset, cleaned, and invoiced according to established procedures. Manage the Member Spotlight table.
- Open and close the Chamber office. Follow established procedures.
- Accept payments for membership dues, events, etc.
- Prepare checks for signatures when printed; mail, scan and file checks when signed.
- Scan credit card statements, bank statements, and other documents.
- Administer text alerts to Chamber members.
- Conduct routine data entry management for accounting records including accounts payable, billing, and accounts receivable.
- Review of billing statements, invoices, and similar documents for accuracy; alerts supervisory staff of any discrepancies.
- Distributes accounting reports as directed.
- Perform other duties as assigned
Required Skills & Abilities:
- Ability to accurately and efficiently enter data into computer software and systems.
- Basic mathematical skills.
- Good verbal communication skills.
- Proficient in Microsoft Office Suite or related software.
Education: High school diploma or equivalent required.
Work Experience: 3 years’ experience in an office environment and proficiency in use of computer applications and software.
Computer Skills: Computer proficiency in programs such as Microsoft Excel, Outlook, and Word. Proficiency in QuickBooks. Willingness to learn and use industry specific software.
Certifications & Licenses: Valid driver’s license
