Role Description The Client Intake Specialist is a full-time, on-site role based in Pittsburgh, PA. This position is responsible for being the first point of contact for prospective and existing clients, gathering and verifying relevant information, and accurately documenting case details in firm systems. Daily tasks include answering phone calls and emails, conducting intake interviews, explaining basic firm procedures, and scheduling consultations with attorneys, drafting and sending out engagement letters. The Client Intake Specialist will coordinate attorneys and administrative staff to ensure smooth handoff of cases, maintain organized records, and uphold confidentiality and professionalism in all client interactions. The role will also involve assisting with document formatting, and supporting general front-office operations as needed.
Qualifications
- Strong Communication and Interpersonal Skills to interact effectively with clients, attorneys, and staff.
- Demonstrated Client Intake and Customer Service experience, preferably in a legal, medical, or professional services setting.
- Familiarity with Estate Planning and the Probate process a plus.
- Proficiency with office software (e.g., MS Office, case management or CRM systems) and accurate data entry skills.
- Ability to manage multiple inquiries, prioritize tasks, and maintain attention to detail in a fast-paced environment.
- Commitment to confidentiality, professionalism, and respectful, inclusive service to all clients.
- High school diploma or equivalent required; post-secondary education or experience in a law firm or professional office environment is beneficial.
- Reliable attendance and the ability to work on-site in Pittsburgh, PA during standard business hours.
