Title: Brokerage Coordinator
Roles and Responsibilities:
The Brokerage Coordinator provides administrative, marketing, and operational support to the brokerage team, ensuring the seamless execution of property listings, client deliverables, and internal processes. This role plays a key part in the preparation of high-quality marketing materials and presentations that position the firm competitively in the market. A strong emphasis is placed on leveraging Geographic Information Systems (GIS) to create compelling, data-driven visuals and maps for property marketing and client decision-making.
Customer Service:
- Handle client inquiries promptly and professionally, ensuring excellent customer service
- Become well-versed in all property listings and property management properties to facilitate accurate information transfer
- Maintain organized records of client interactions and vendor updates
Administrative and Brokerage Support:
- Provide administrative support to brokers in preparing marketing materials and coordinate the production of marketing materials
- Ensure that listings are updated on listing platforms and maintain a database to track listings
- Assist with lease and sales documentation, including commission agreements, proposals, and listing agreements
- Work directly with the Chief of Staff to prepare projects and marketing materials
Branding and Signage:
- Coordinate with third-party vendors (printers, sign companies, etc.) to ensure timely and accurate execution of marketing projects
- Update and manage a signage spreadsheet to track orders, costs, installation dates, and lead times
- Work closely with sign vendors to confirm specs, materials, proofs, and delivery timelines
- Maintain brand consistency across all deliverables
Client & Team Support:
- Prepare polished, client-facing deliverables for broker presentations and meetings
- Act as a liaison between brokers, clients, and internal departments to ensure smooth communication and project coordination
- Anticipate the needs of the brokerage team and proactively identify solutions to support business development efforts
Qualifications:
- High School Diploma required; Bachelor’s in Marketing, Business, Real Estate, or related field preferred
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Creative Suite
- Experience with GIS software (ArcGIS, ESRI, or similar tools) preferred
- Experience in hospitality or service industry preferred
- Strong organizational skills and ability to manage multiple projects with competing deadlines
- Excellent written and verbal communication skills
