Grant Management
- Ensure grant-related services are recorded and tracked appropriately in accounting systems. Maintain all supporting documentation.
- Update and maintain grant management model for accounting, management reporting, and audit purposes. Reconcile to General Ledger.
- Evaluate eligibility for reimbursement based on contract terms and approved budgets.
- Prepare and submit requests for reimbursement per grantor’s published schedule.
- Prepare management reports and participate in grant reviews per established schedule.
- Participate in grant applications, budget revisions, and program audits as needed.
- Monitor fee-for-service activity, report and resolve discrepancies.
- Ensure transactions are recorded accurately in the general ledger.
- Prepare management reports and related analysis by established deadlines.
- Prepare and enter biweekly payroll journal entries.
- Prepare and enter closing journal entries into accounting system, including but not limited to
- Subledgers: post payables, receivables, and gifts to General Ledger.
- Recurring costs for rent, bank fees, and merchant fees.
- Investment account activity.
- Depreciation of fixed assets.
- Prepaid expenses.
- Restricted assets.
- Reconcile GL accounts and bank reconciliation as assigned, review with CFO.
- Assist with preparation of monthly financial package.
- Prepare and distribute management reports (departmental budget versus actual reports).
- Maintain records for audit.
- Assist with year-end duties, including preparing and recording accruals.
- Document processes (desk procedures).
- Cross-train with departmental staff on all primary functions.
- Other duties may be assigned by the Chief Financial Officer.

Education/Experience:
- Bachelor’s degree or higher in accounting or related field.
- 3-5 years of recent and relevant work experience.
- Nonprofit accounting experience a plus.
- Excellent communication and interpersonal skills.
- Ability to speak with self-confidence.
- Ability to produce professional correspondence and presentations.
- Ability to identify and plan long- and short-term goals.
- Demonstrate knowledge of computer programs and databases including Microsoft Office (Excel, Word, Outlook).
- Familiarity with Financial Edge NXT a plus.
- Must maintain a current drivers’ license and favorable driving record as condition of employment.
- Must provide proof of current vehicle insurance.

- Two to five years of recent and relevant grant accounting experience.
- Ability to research OMB Uniform Guidance; understand and apply complex federal, state, local, and other laws, regulations, and guidelines to various accounting, payroll, and grant-related functions and procedures.
- Knowledge of generally accepted accounting principles (GAAP).
- Ability to work with a high degree of accuracy and attention to detail.
- Ability to communicate effectively orally and in writing with peers and senior management.
- Ability to create and maintain current desk procedures
- Reliable transportation and current auto insurance.
- Record biweekly payroll entry, allocating cost based on hours worked
- Collect and maintain documentation for all monthly grant-related charges
- Evaluate eligibility for reimbursements based on contract terms and approved budget
- Submit financial status reports for eligible charges monthly
- Reconcile backup to general ledger and financial status reports monthly
- Prepare budget versus actual reports; provide updates to senior management
- Assist in year-end duties, including preparing and recording accruals
- Assist with annual financial audit
- Document processes (desk procedures)
- Cross-train with departmental staff on all primary functions
- Other duties as assigned.
- Familiarity with OMB Uniform Guidance
- Relevant experience with cost reimbursement and fee for service contracts
- Proficiency with Excel and Word
- Familiarity with Financial Edge/Blackbaud a plus
- Must have excellent time management and organizational skills
- Ability to meet deadlines for agency
- Ability to work as a team player and work effectively with other agency employees, outside visitors, and volunteers
