Jonathan’s Ogunquit is expanding its year-round leadership team and seeking a highly organized, detail-driven Administrative Coordinator to support our front office, finance, and operational workflow. This role is ideal for someone who enjoys structure, accuracy, problem-solving, and being the central hub that keeps a busy hospitality business running smoothly.
As we prepare for our 50th anniversary and a new era of growth, this position will play a pivotal part in strengthening our administrative and financial systems.

Key Responsibilities
Bookkeeping & Financial Support
• Enter vendor invoices, maintain AP documentation, and organize weekly check runs
• Track deposits, maintain cash logs, and support revenue reconciliation workflows
• Prepare monthly vendor files, assist with 1099 preparation, and maintain digital financial archives
• Support CPA and leadership with organized, timely reporting packages
Administrative & Office Management
• Maintain internal calendars, meetings, deadlines, reminders, and compliance tracking
• Organize digital filing systems, staff records, operational manuals, and communication logs
• Prepare forms, templates, and standardized processes for HR, events, and vendor management
• Serve as the primary point of contact for administrative questions and daily operational needs
HR & Staff Coordination
• Manage onboarding paperwork, update checklists, and track certifications and annual trainings
• Prepare weekly internal communication reminders and assist with staff documentation
• Support scheduling workflows and coordinate with department managers as needed
Event & Department Support
• Assist with artist hospitality details, event documentation, and internal event coordination
• Prepare administrative materials for concerts, private dining, and off-season operational projects
