JOB DESCRIPTION
TITLE OF POSITION: Office Support IV
FLSA STATUS: Non-Exempt
LOCATION: Human Resources / Simpson Building
SALARY: Grade 67
TERM OF EMPLOYMENT: 12 Months
REPORTS TO: Chief of Human Resources and Director of Certified and Support Personnel
QUALIFICATIONS AND ATTRIBUTES:
- High school diploma or GED from a regionally or nationally accredited institution.
- Minimum of three (3) years of progressively responsible administrative, office support, customer service, or human resources experience preferred.
- Proficiency using Microsoft Office Suite, Google Workspace, email systems, spreadsheets, and database applications.
- Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive personnel information.
- Associate's degree or higher in Business Administration, Human Resources, Office Administration, or a related field preferred. Relevant work experience may be substituted for the preferred degree.
- Notary Public or ability to obtain certification after employment.
- Bilingual (English/Spanish) skills are preferred but not required.
DUTIES AND RESPONSIBILITIES:
- Assist the Director of Certified and Support Personnel with tasks related to volunteers, substitutes, school contract employees, student teachers, and non-faculty coaches.
- Assists with the substitute teacher hiring process (completes and facilitates tasks such as criminal record checks, health certificate, set salary, maintain substitute list, complete E-Verify process, and submits monthly Board reports).
- Process paperwork and maintain files on all active and inactive substitute teachers.
- Process all new school-based employees and make changes throughout the year in the Red Rover substitute system.
- Prepare new hire packets, personnel files, and onboarding materials.
- Process information using a variety of computer processing skills including the use of spreadsheets and file maintenance programs.
- Enter data in HR LINQ for substitutes and non-faculty coaches.
- Facilitate sign-up meetings for substitute teachers and non-faculty coaches.
- Serve as back-up for Certified and Classified sign-up meetings.
- Serve as back-up for the Switchboard.
- Complete employment verifications for substitutes and non-faculty coaches.
- Maintain files for EC contract employees, band, or other school contract employees.
- Assimilate information from a wide variety of sources to compose letters, generate reports, and provide informational data.
- Assist with the recruitment, hiring, onboarding, and orientation of employees.
- Perform other duties as assigned.
PHYSICAL REQUIREMENTS:
- Ability to communicate effectively in both written and oral forms.
- Ability to present information to individuals and groups with professionalism, confidence, and effective communication skills.
- Ability to operate standard office equipment and computer technology for extended periods.
- Ability to perform the essential physical requirements of the position, including sitting, standing, walking, reaching, grasping, lifting, carrying, pushing, pulling, talking, seeing, hearing, repetitive motion, and other activities associated with office work.
- Possess or obtain a valid North Carolina driver's license.
- Ability to establish and maintain effective working relationships with employees, administrators, governmental agencies, and members of the public.
- Ability to maintain strict confidentiality while handling sensitive personnel information.
- Ability to perform effectively under pressure, manage multiple priorities, and adapt to changing operational needs.
