Johnson O’Connor is a regional Public Accounting Firm located outside of Boston in Wakefield, MA. We are seeking an experienced, reliable, and detail-oriented Administrative Assistant to join our team.
Key Responsibilities:
Assigned Administrative Assistant to Specific Partners:
- Serve as the primary administrative support contact for assigned partners, managing daily needs, priorities, and communications.
- Coordinate calendars, schedule meetings, and ensure partners are prepared with necessary materials and information.
- Anticipate partner needs by proactively organizing tasks, follow-ups, and administrative workflows.
Processing of Client Deliverables:
- Prepare, assemble, and finalize client deliverables, including tax returns, financial statements, and related documents.
- Ensure all deliverables are accurately formatted, complete, and compliant with firm standards prior to release.
Client & Team Support:
- Answer and direct phone calls, greet clients, and prepare conference rooms for meetings, including offering refreshments.
- Assist with booking travel arrangements for conferences, including flights and hotels.
- Order lunch for meetings and ensure timely and accurate setup.
Mail & Document Handling:
- Open, distribute, and manage incoming mail and packages, including FedEx and end-of-day mailbox duties.
- Scan and organize statements, forward faxes, and ensure accurate document distribution.
Supply & Inventory Management:
- Order and maintain kitchen supplies, including fresh fruit each Monday.
- Manage orders for office, processing room, and printer supplies (e.g., toner), as well as business cards and stationery.
Administrative Organization:
- Keep common areas, particularly conference rooms, neat and “meeting-ready.”
- Assist with monthly administrative reviews and general filing and document organization.
Qualifications:
- 1-3 years of experience as an administrative assistant at a public accounting firm
- Commitment to exceptional client service
- Manage multiple tasks and meet multiple deadlines
- Strong communication skills, professional demeanor, and attention to detail
- Flexible, self-starter personality with a willingness to learn new professional concepts and techniques
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Knowledge of CCH Axcess, Engagement and Adobe Acrobat is preferred

Compensation: $65,000 - $70,000 per year
