Role Description The Intake Specialist is a full-time, on-site role based in Hendersonville, TN. This position is responsible for serving as the first point of contact for prospective clients and families, gathering essential information, and scheduling consultations in a professional, compassionate manner. Daily tasks include conducting initial intake calls and in-person interviews, documenting client information accurately in firm systems, and explaining basic processes and services. The Intake Specialist will coordinate with attorneys, care coordinators, and other team members to prepare files, verify insurance details, and ensure a smooth transition from inquiry to active client. This role also involves responding to inquiries, maintaining high-quality customer service standards, and supporting office administrative functions as needed.
Qualifications
- Strong Communication and Interpersonal Skills to interact effectively and empathetically with clients, families, and team members.
- Hands-on experience with Client Intake and Customer Service, including gathering detailed information and managing inquiries professionally.
- Familiarity with Insurance concepts and processes, such as verifying coverage and understanding basic benefits terminology.
- Ability to manage multiple tasks, maintain accurate records, and use practice management or CRM software efficiently.
- Prior experience in a law firm, healthcare, social services, or elder care environment is highly beneficial.
- High school diploma or equivalent required; additional education in social work, legal studies, or a related field is a plus.
- Demonstrated reliability, discretion with confidential information, and a commitment to serving older adults and their families.
