As the first person who answers the incoming calls, an excellent first impression is essential. Our practice focuses on the importance of our relationships with our clients. This position will represent the firm and will be responsible for answering incoming phone calls in a professional and timely manner. You will also need to be a backup person to help greet clients when they come into our office.
Primary Tasks and Level of Accountability:
· Answering inbound phone calls
· Transferring calls and taking messages when necessary
· Preparing Materials for Seminars
· Maintaining and ordering office supplies and client gifts
· Keeping meeting rooms neat and well stocked
· Sorting and distributing mail each day
· Mailing out packages via USPS and Fed Ex
· Backup role for greeting guests that enter the office and offering beverage services
Knowledge and Skills:
· Professional manners and dress
· Dynamic personality to greet guests in person and on phone
· Ability to deal with an upset guest
· Previous experience with a switchboard phone system
· Strong organizational skills
· Strong ability to multitask and direct calls to proper staff
· Experience with MS Office and Salesforce preferred
