The Program Specialist Senior is responsible for coordinating staff activities, department program and day-to-day oversight of the operational and administrative functions of the program to enhance and improve departmental workflows and programs. Also responsible for the daily management of the department administrative staff. Provides support to the department leadership team. Creates timely reports for department and other key stakeholders. Work requires internal contacts outside the work group to persuade or gain cooperation and acceptance of ideas. Job has significant accountability for ensuring internal contact satisfaction. Has direct contact with members of professional staff, administrative staff, and department heads and outside agencies. Interactions with external contacts requires complex processes. Communication with external contacts involves providing service to resolve serious complaints, maintain key relationships, make significant adjustments, handle high profile meetings or deal with similar sensitive relations.

Education:

  • Bachelor’s degree required or equivalent work experience.
  • One year of relevant education may be substituted for one year of required work experience or one year of relevant professional-level work experience may be substituted for one year of required education.

Knowledge, Skills, and Abilities:

  • Thorough knowledge of department policies, procedures, and practices.
  • Uses critical thinking skills to analyze budget reports and identify inconsistencies.
  • High level of interpersonal skill, written and oral communication necessary to interface with various levels of management.
  • Ability to work independently and meet scheduled time frames; manage multiple projects simultaneously; and prepare oral and/or written presentations to senior management.
  • Ability to compile and coordinate high quality reports, proposals and written work in support of projects.
  • Must have experience with Microsoft Project, Excel, Word and project scheduling skills. Must be organized and detail oriented.
  • Must be able to work in complex organizational systems and affect change. Must be able to enter data into electronic information systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Coordinates meetings and committee functions by preparing agendas, managing invitations and RSVPs, compiling materials, and documenting minutes.
  • Supports the development and deployment of high reliability initiatives through structured project coordination and administrative support.
  • Serves as a subject matter expert and instructor for HRO Universal Skills and assists in Leader Skills and Safety Coach training.
  • Applies principles of HRO and safety science to guide organizational behavior and promote a culture of safety and reliability.
  • Communicates effectively across all levels of the organization; facilitates change and supports adoption of new practices and systems.
  • Manages logistics for HRO-related events, meetings, and training programs.

OTHER DUTIES AND RESPONSIBILITIES

  • Ensures HRO data integrity by collecting, analyzing, and maintaining relevant metrics (e.g., SSER – PSQ, US compliance – HR, Provider Compliance – Provider Relations).
  • Leads instruction for Universal Skills classes and supports onboarding and education efforts for leaders and staff.
  • Represents the HRO program at daily Hospital Safety Huddles and provides timely updates.
  • Develops and distributes monthly communications regarding Universal Skills and Leader Skills.
  • Maintains and regularly updates the Universal Skills and Leader Skills presentations in collaboration with the Directors of PSQ.
  • Coordinates implementation meetings and manages agendas and follow-ups.
  • Oversees the Top 3 process to ensure consistency and engagement.
  • Supports and enhances High Reliability Rounding (HRR) through process management, education, and new leader training.
  • Models best practices for 4C rounding and tracks compliance across units.
  • Assists with annual planning of HRO goals and tactics in coordination with leadership.

Salary Range: Minimum 36.38/hour - Maximum 60.03/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility. In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
