Position Overview

  • The Customer Service Representative / Receptionist contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital.

Key Responsibilities

  • Provides excellent customer service in-person, over the phone, and during high-stress situations.
  • Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
  • Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
  • Assists with medication pickups, inquiries, and provides information about services and products.
  • Inputs and manages data in practice management software, including billing and accounts.
  • Assists with retail sales, weighing pets, processing faxes, and maintaining records.
  • Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Qualifications (Required)

  • Prior customer service experience required (veterinary, medical, or hospitality experience preferred)
  • Strong communication and multitasking skills
  • Comfortable working in a fast-paced environment and remaining calm under pressure
  • Basic computer proficiency (experience with veterinary software is a plus)
  • Willingness to learn basic medical terminology and assist with triage communication
  • Reliable, punctual, and professional demeanor
  • Must be willing to work with small mammals, exotics, dogs, and cats.
  • Must be a team player

Preferred Skills (Nice to Have)

  • 1 year of experience in a veterinary, medical, or customer-facing office setting
  • Familiarity with veterinary terminology, vaccine schedules, or client communication in a clinical setting
  • Experience using veterinary software (Cornerstone, ezyVet, Avimark, etc.)
  • Knowledge of basic animal handling or triage procedures
  • Interest in pursuing growth opportunities within veterinary medicine

Schedule: Monday, Tuesday, and Thursday from 7am-6pm (with 1-hour lunch break) and every other Saturday from 7am-2pm
