Salary & Compensation
- Starting salary $100,000 to $110,000, DOQ
- Up to 15% bonus via profit sharing program
The Business Administrator is primarily responsible for the following functions:
- Performs full-cycle accounting operations, including Accounts Payable and Receivable.
- Processes all customer bills, fuel delivery invoices, and service charges.
- Maintains and reconciles fuel inventory and cost tracking, ensuring accurate pricing, tax calculations, and regulatory compliance (including but not limited to fuel taxes, environmental fees, safety compliance fees, etc.)
- Records all counter slips and balances cash drawers.
- Processes walk-in payments.
- Completes collection process for past-due accounts.
- Manages payroll process and applicable tax filings.
- Prepares monthly, quarterly, and annual financial statements.
- Monitors cash flow and collaborates with the Executive team to establish budgets and cashflow/expense forecasts.
- Supports year-end close, acting as a liaison between the Executive team and external accountants and auditors.
- During high demand call times, answers phones and addresses customer inquiries in a prompt, professional, courteous manner and processes orders for fuel.
- Addresses escalated customer calls as necessary.
- When necessary, contacts customers prior to deliveries.
- Matches invoices with packing slips and delivers to COO for approval.
- Posts delivery tickets and diesel counter slips in a timely manner and mails physical copies to customers.
Required Qualifications:
- High school degree or equivalent.
- 5-7 years prior management experience in energy, construction, or related field.
- Reasonable Suspicion Drug and Alcohol certification through DOT, or ability to obtain within 30 days of hire.
- Ability to adapt to shifting priorities and remain calm and professional in all situations.
- Ability to work extended hours as necessary, especially during peak demand seasons.
Preferred Qualifications:
- Associate or bachelor’s degree in management & leadership, Construction Management, or related program.
- Prior experience with Ignite and Blue Cow software.
- Prior experience working for a fuel company.
- Bilingual in English and Spanish.
