Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office management skills, proficiency with various software tools, and excellent communication abilities. Bilingual skills are a plus, as well as experience in medical or dental reception settings.
Duties
- Greet visitors and clients in a friendly and professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office
- Perform data entry, filing, and maintain accurate records using QuickBooks and other office management software
- Handle incoming and outgoing correspondence, including emails and mail processing
- Assist with bookkeeping tasks such as invoicing and basic bookkeeping using QuickBooks
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
- Proofread documents for accuracy and clarity before distribution
- Support office management tasks including supply ordering, organization of files, and general administrative support
- Maintain a clean and organized reception area to promote a welcoming environment
Experience
- Prior office experience or clerical experience preferred; experience in medical or dental reception is a plus
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping tasks is desirable
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills, both verbal and written; bilingual abilities are advantageous
- Demonstrated ability to handle multi-line phone systems with professionalism and courtesy
- Experience with calendar management, data entry, filing systems, and proofing documents
- Knowledge of office management procedures including time management and organizational skills
