Position Overview
The Accounts Payable / Accounts Receivables Manager will support the financial operations of a grading, clearing, and site‑work contracting business by managing day‑to‑day accounting activities, including invoicing, billing, vendor payments, job cost tracking, and financial recordkeeping. This role ensures accuracy, timeliness, and compliance across all accounting functions and supports project managers and leadership with reliable financial data.
Key Responsibilities
Accounts Payable (AP)
- Process vendor invoices, verify accuracy, match to purchase orders, and obtain approvals.
- Maintain vendor files, W‑9s, certificates of insurance, and payment terms.
- Prepare weekly check runs, ACH payments, and credit card reconciliations.
- Track subcontractor invoices and lien waivers.
- Reconcile vendor statements and resolve discrepancies promptly.
Accounts Receivable (AR)
- Prepare and send customer invoices based on project milestones, completed work, or contract terms.
- Track receivables, monitor aging reports, and follow up on outstanding balances.
- Apply customer payments and maintain accurate AR records.
- Coordinate with project managers to ensure billing accuracy for grading, clearing, excavation, and site‑work services.
General Accounting & Office Support
- Maintain accurate financial records in accounting software (e.g., QuickBooks).
- Assist with job costing, project budgets, and cost‑to‑complete tracking.
- Support month‑end close, bank reconciliations, and financial reporting.
- Prepare documentation for CPA, audits, and tax filings.
- Maintain organized digital and physical filing systems.
- Support administrative tasks such as payroll prep, equipment logs, and insurance renewals as needed.
Qualifications
- 3 years of bookkeeping or accounting experience (construction or trades preferred).
- Strong understanding of AP/AR, job costing, and basic GAAP principles.
- Proficiency with QuickBooks, Microsoft Excel, and digital document management.
- Experience working with contractors, subcontractors, or field‑based operations is a plus.
- Strong attention to detail, accuracy, and organizational skills.
- Ability to manage multiple priorities in a fast‑paced environment.
- Excellent communication skills and professionalism when interacting with vendors, customers, and internal teams.
Preferred Experience
- Familiarity with grading, excavation, land clearing, or site‑work operations (based on the company’s service offerings) is great; but, will consider transferrable / relevant experience from other industries!
- Understanding of progress billing, retainage, and construction documentation.
- Experience with equipment logs, fuel tracking, or field tickets.
Work Environment
- Office-based role with regular communication with field teams, project managers, and leadership.
- Small, fast‑moving contractor environment where adaptability and initiative are valued.
