Job Overview
We are seeking a dedicated and organized Office Personnel to join our team. The ideal candidate will be responsible for managing daily administrative tasks, providing exceptional customer service, and supporting office operations to ensure a smooth workflow. Prior office experience, proficiency with various software tools, and excellent communication skills are essential for success in this position.

Responsibilities

  • Answering phone systems with professionalism and courtesy, demonstrating excellent phone etiquette
  • Managing front desk operations, including greeting visitors and directing inquiries
  • Performing data entry and maintaining accurate records.
  • Assisting with bookkeeping tasks using QuickBooks.
  • Filing, organizing, and maintaining physical and digital documents to ensure easy retrieval
  • Providing customer support through email, phone, or in-person interactions
  • Proofreading correspondence and documents for accuracy and clarity
  • Supporting administrative tasks such as photocopying, faxing, and mail distribution
  • Relaying orders received to the Metal Shop.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience with QuickBooks or office management software is preferred
  • Excellent organizational skills with the ability to multitask effectively
  • Bilingual abilities are a plus to assist diverse clientele and team members
  • Previous clerical or administrative experience is highly desirable
  • Exceptional customer service skills with professional phone etiquette and support capabilities
  • Strong typing skills with high accuracy for data entry tasks
  • Attention to detail for proofreading documents and managing records
  • Ability to manage time efficiently and prioritize tasks effectively
