Position Summary
The Medicaid Billing Coordinator is responsible for managing all aspects of Medicaid billing for Jobs for Kentucky’s Graduates (JAG KY), ensuring accurate, timely, and compliant submission of claims. This role supports the organization’s mission by helping secure critical funding tied to student services, while maintaining adherence to all federal, state, and Medicaid regulations.
Key Responsibilities
Billing & Claims Management
- Prepare, review, and submit Medicaid claims accurately and in a timely manner
- Monitor claim status, follow up on unpaid or denied claims, and resolve discrepancies
- Ensure proper documentation supports all billing activities
- Maintain organized records of claims, payments, and adjustments
Compliance & Regulations
- Ensure compliance with Medicaid policies, procedures, and regulations
- Stay current on changes to Medicaid billing requirements and communicate updates internally
- Assist with audits and provide required documentation and reporting
Data Management & Reporting
- Maintain billing data within required systems and databases
- Generate regular reports on billing activity, reimbursement trends, and outstanding claims
- Analyze data to identify patterns, errors, or opportunities for improved efficiency
Collaboration & Support
- Work closely with program staff to ensure accurate service documentation
- Provide training and guidance to staff on Medicaid documentation requirements
- Serve as a liaison between JAG KY and Medicaid representatives or third-party vendors
Financial Coordination
- Reconcile billing records with payments received
- Assist finance team with budgeting projections related to Medicaid revenue
- Support month-end and year-end financial processes as needed
Qualifications
Education & Experience
- Associate’s or Bachelor’s degree in Accounting, Finance, Healthcare Administration, or related field preferred
- Minimum of 2–3 years of experience in Medicaid billing, healthcare billing, or related field
- Experience working with government-funded programs or nonprofits is a plus
Knowledge & Skills
- Strong understanding of Medicaid billing processes and compliance requirements
- Proficiency in billing systems, Microsoft Excel, and data management tools
- Excellent attention to detail and organizational skills
- Strong analytical and problem-solving abilities
- Effective communication and interpersonal skills
