We are seeking a dynamic, detail-oriented Service Coordinator for our fire and safety company. The ideal candidate will have a strong background in coordinating services within the construction industry, or experience as an administrative assistant for a construction company. This role is integral to ensuring the smooth operation of our projects, from initial planning to final completion. The successful candidate will liaise with various departments, including project management, sales, and customer service, to ensure all project elements are delivered on time.
Responsibilities:
1. Coordinate and schedule all service activities, ensuring all tasks are carried out in a timely and efficient manner.
2. Utilize ServiceTrade software to manage and track all project activities, including scheduling, dispatching, and invoicing.
3. Communicate effectively with project managers, technicians, and customers to ensure all parties are informed of project statuses and any changes or delays.
4. Prepare and manage all service documentation, including work orders, service reports, and customer invoices.
5. Monitor and track all service inventory, ensuring all necessary materials are available as needed.
6. Assist with the development and implementation of service policies and procedures to improve operational efficiency.
7. Handle customer inquiries and complaints, providing high-quality customer service and ensuring customer satisfaction.
8. Collaborate with the sales team to identify and pursue new service opportunities.
Qualifications:
1. A minimum of 1 year of experience as a Service Coordinator or administrator in the construction industry.
2. Proficiency in software such as ServiceTrade or SalesForce is a huge plus.
3. Exceptional organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
4. Strong communication skills, with the ability to effectively liaise with various departments and customers.
5. Excellent problem-solving skills, with a focus on providing effective solutions to operational challenges.
6. A strong understanding of the construction industry, including knowledge of construction materials and processes.
7. A high level of computer literacy, with proficiency in Microsoft Office Suite and other relevant software.
8. The ability to work effectively in a fast-paced, deadline-driven environment.
9. A customer-focused approach, with a commitment to providing exceptional customer service.
