Job Details
We are seeking a detail-oriented and highly organized Estate Planning Legal Assistant to support our estate planning and trusts & estates attorneys.
This position plays a key role in assisting attorneys with the preparation, administration, and execution of estate planning documents while providing exceptional service to clients.
The ideal candidate will have experience in Florida estate planning matters and a strong commitment to accuracy, confidentiality, and client service.
Key Responsibilities
Assist estate planning attorneys with all stages of estate planning matters
Draft, edit, and format estate planning documents, including wills, trusts, powers of attorney, advance directives, and related correspondence
Prepare asset summaries, beneficiary designations, and estate planning questionnaires
Coordinate document execution meetings, including scheduling witnesses and notaries
Manage client files, both electronic and physical, ensuring accuracy and organization
Communicate professionally with clients regarding document intake, execution, and follow-up
Assist with trust funding, including preparation of deeds, affidavits, and related documentation
File and track probate and trust administration-related documents as needed
Maintain calendars, deadlines, and reminders for attorneys
Open and close matters in accordance with firm procedures
Handle confidential and sensitive information with discretion and professionalism
Provide general administrative and clerical support to the trusts and estates team as needed
Qualifications & Experience
Minimum of 2–4 years of experience as a legal assistant or administrative assistant in estate planning, trusts and estates, or a related practice area preferred
Familiarity with Florida estate planning and probate concepts strongly preferred
Strong proficiency in Microsoft Office and legal document management systems
Excellent written and verbal communication skills
Highly organized with strong attention to detail and time-management skills
Ability to manage multiple tasks, prioritize deadlines, and work effectively in a team environment
Professional demeanor and strong client-service orientation
