We are seeking a detail-oriented and dependable Accounting Assistant / Payment Posting Specialist to join our team. Position Summary
The Accounting Assistant / Payment Posting Specialist is responsible for supporting daily accounting and financial operations, including payment posting, transaction processing, account reconciliations, accounts receivable and accounts payable support, payment activity, financial recordkeeping, and reporting.
The ideal candidate has previous accounting, bookkeeping, accounts receivable, accounts payable, banking, payment processing, or similar financial experience and is comfortable working with spreadsheets, financial reports, and multiple software systems. This position requires a high degree of accuracy, organization, confidentiality, and attention to detail.
Responsibilities
- Assist with day-to-day accounting and bookkeeping activities for collection accounts.
- Record and maintain accurate financial transactions and supporting documentation.
- Post and apply consumer payments and other financial transactions as needed.
- Research and resolve discrepancies, variances, unapplied funds, and account balance issues.
- Process adjustments, refunds, account corrections, and other transactions as appropriate.
- Monitor and follow up on chargebacks, returned payments, and NSF transactions; research discrepancies, update account records, and coordinate resolution as needed.
- Review financial reports and supporting documentation for accuracy and completeness.
- Prepare and maintain spreadsheets used for reconciliations, tracking, analysis, and reporting.
- Assist with invoice processing, payment documentation, and customer account records.
- Maintain organized and accurate accounting files and supporting documentation.
- Communicate with internal departments regarding accounting questions, discrepancies, and documentation needs.
- Assist with month-end closing procedures, reconciliations, and financial reporting.
- Support management and accounting personnel with financial analysis and special projects as needed.
- Ensure financial information is handled in accordance with company policies, client requirements, and applicable regulations.
- Maintain confidentiality of company, client, customer, and financial information.
- Perform additional accounting and administrative duties as assigned.
Qualifications
- Minimum of 2 years of accounting, bookkeeping, accounts receivable, accounts payable, banking, payment processing, or similar financial experience preferred.
- High school diploma or equivalent required; associate or bachelor's degree in Accounting, Finance, Business, or a related field is a plus.
- Strong understanding of basic accounting and bookkeeping principles.
- Strong data entry skills with exceptional attention to detail and accuracy.
- Excellent organizational and time management skills.
- Strong analytical and problem-solving abilities.
- Ability to research discrepancies and identify errors within financial records.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently while contributing to a collaborative team environment.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and appropriately handle sensitive financial information.
