In this role, you will be the administrative backbone of the department, helping ensure smooth operations, accurate documentation, effective communication, and quality service delivery for individuals with developmental disabilities. What You'll Do

As the CBDS Administrative Specialist, you will help keep our programs running efficiently by:

  • Coordinating Department of Mental Health (DMH) billing processes
  • Managing participant authorizations and maintaining client files
  • Supporting quality assurance activities, surveys, and compliance documentation
  • Preparing monthly, semiannual, and annual reports for EITAS and funding agencies
  • Managing case notes, summaries, records, and correspondence
  • Supporting the Director of Community-Based Day Services and Training Specialist
  • Facilitating communication between CBDS, Job One departments, regional offices, and external partners
  • Providing administrative support for meetings, training activities, and departmental initiatives
  • Assisting with safety drills, inspections, and office organization
  • Troubleshooting challenges and helping connect participants with needed supports
  • Maintaining confidentiality and ensuring documentation meets ethical and legal standards
  • Representing Job One with professionalism and positivity throughout the community

What We're Looking For: Education

  • High school diploma or GED required
  • Relevant experience may be considered in place of formal education
  • Bachelor's degree preferred

Experience

  • Experience with administrative and clerical procedures, systems, and best practices
  • Experience working with individuals with disabilities is a plus
  • Experience in vocational rehabilitation, workforce development, training, or community-based services is highly desirable
  • Relevant education may be considered in lieu of experience

Technology Skills

  • Proficiency in Microsoft Office Suite, including:
  • Word
  • Excel
  • Outlook
  • Teams
  • SharePoint
  • Experience with systems such as:
  • Set-Works
  • Paycor
  • CIMOR
  • Comfortable learning and using new software platforms

Certifications & Requirements

  • Valid driver's license required upon hire
  • Class E Chauffeur's License required within 30 days of hire
  • First Aid/CPR certification required
  • Mental Health First Aid certification required
  • Gentle Teaching training required
  • Ability to pass required background and drug/alcohol screenings

Working Environment

This position works primarily in an office setting and at Job One program locations. Daily activities include computer work, communication with team members and community partners, record keeping, and occasional travel to support program operations.
