Position Summary
The Property/Asset Manager is responsible for the overall management, operations, and financial performance of a commercial property portfolio. This role requires strong leadership, sound financial acumen, and a commitment to superior tenant and client service. The Property/Asset Manager oversees property budgets, contracts, staff, vendors, and projects to ensure properties operate efficiently, safely, and profitably. They also play an important role in managing investor relations and reporting to various ownership partners, etc.
Key Responsibilities
Financial Management
- Prepare and monitor annual operating and capital budgets.
- Track and report on monthly financial performance, variances, and cash flow.
- Review and approve invoices, expense coding, and reconciliations.
- Oversee CAM reconciliations, tax statements, and financial reporting packages.
Operations & Vendor Management
- Review, negotiate, and manage vendor contracts (janitorial, landscaping, security, maintenance, etc.).
- Solicit bids, evaluate proposals, and recommend contract awards to ensure quality and cost control.
- Conduct regular site inspections, identifying maintenance needs, safety hazards, and curb appeal issues.
- Implement preventive maintenance, energy management, and life-safety programs.
- Coordinate consultants, engineers, architects, and contractors for capital projects and tenant improvements.
Tenant Relations & Lease Administration
- Serve as primary contact for tenants; ensure high-quality customer service and timely resolution of requests.
- Monitor lease compliance, renewals, escalations, insurance certificates, and late payments.
- Coordinate tenant move-ins and move-outs; maintain suites in show-ready condition.
- Assist leasing staff in marketing space and reporting leasing activity.
Leadership & Reporting
- Supervise property management support staff, vendors, and contractors.
- Conduct staff evaluations and make recommendations regarding staffing, training, and performance.
- Prepare and present monthly operating and status reports for ownership and senior management.
- Stay current on industry trends, local regulations, and best practices through professional development and industry associations (e.g., BOMA, IREM).
Qualifications
Education & Experience
- Bachelor’s degree in business, real estate, finance, accounting, or related field preferred.
- Minimum 5 years of property management or related experience, with supervisory responsibilities.
- Experience with maintenance and construction projects a plus.
Skills & Knowledge
- Strong knowledge of property management or commercial real estate principles, budgeting, and accounting practices.
- Familiarity with real estate law, lease administration, and compliance.
- Proficiency with Microsoft Office; experience with Appfolio, Yardi, MRI, or similar property management software preferred.
- Ability to analyze financial reports and prepare variance explanations.
- Basic understanding of building systems (mechanical, electrical, HVAC).
Certifications
- Certified Property Manager (CPM) or Real Property Administrator (RPA) designation desirable.
- Valid driver’s license required.
