Seeking
JMF Development is looking for a dynamic, talented, and eager Executive Assistant with strong organizational, communication and customer service skills to be part of our growing team. The Executive Assistant will report to the Managing Member of JMF Development. The job responsibilities include but are not limited to assisting the Leasing and Development teams, and taking on additional projects as needed. The ideal candidate must be self-motivated, trustworthy, flexible, able to multi-task, and professional. An interest in real estate, marketing, or related business is helpful.
Responsibilities
- Executive/Administrative Support: Support the Managing Member and Development Manager as needed, including assisting with day-to-day operations, scheduling, and other duties as needed, handling confidential tasks and additional projects/duties as assigned. Maintain organized filing systems (digital and paper).
- Commercial Leasing: Assist the Leasing team with scheduling and coordinating property showings and conducting tours and walk-throughs. Draft commercial leases and amendments. Assist with enforcing all the terms of all lease agreements and all aspects of lease administration to ensure critical dates, master scheduling, lease notifications, and renewal notices.
- Construction/Development: Assist the Development team with capital improvement projects and new development/construction projects.
- Short Term Rental Properties: Act as the point of contact for short term rental properties in Malibu, CA including but not limited to, responding to guest bookings and inquiries via Airbnb, VRBO, etc., performing check-ins and check-outs for guests. In addition, conduct walk through after guest check outs and document any damage to the property.
- Customer Service: Manage general inquiry messages and emails from guests, tenants, and clients, and coordinate and distribute correspondence accordingly.
Requirements
- 3 years of prior experience as an Executive Assistant, experience with Commercial Real Estate is a plus
- Excellent organization skills, attention to detail, strength in time management, and prioritization.
- Ability to juggle multiple projects and schedules, and must be able to meet deadlines in a fast-paced quick changing environment,
- Ability to take direction, facilitate, plan and remain calm under pressure,
- Strong writing skills with the ability to compose letters, emails, and responses,
- Excellent computer and technical skills: Outlook, Word, PowerPoint, Excel, office systems, web applications, and office equipment,
- Valid Driver’s License and personal vehicle for use as needed,
- Capacity to work outside of 9:00am – 6:30pm working hours and to work on weekends,
- A bachelor’s degree preferred.
