We are seeking a motivated, detail-oriented Administrative / Estimating Assistant to join our team. This role is essential to supporting both the estimating and billing functions of our office. Responsibilities
- Provide administrative and operational support to the Estimator.
- Assist with preparation, organization, and maintenance of estimating documents and records.
- Billing processes, including preparation and review of AIA billing forms and related documentation.
- Perform accurate data entry, calculations, and basic math functions related to estimates and billing.
- Deliver excellent customer service by responding to client and vendor inquiries professionally.
- Schedule appointments and manage calendars for the Estimator.
- Prepare and distribute correspondence, reports, and project documentation.
- Maintain organized filing systems (digital and physical).
- Monitor office supply inventory and place orders as needed.
- Assist with special projects and ensure efficient day-to-day workflow.
Requirements
- Experience in an administrative or similar role preferred.
- Familiarity with construction estimating support, Procore, and/or AIA billing forms is highly preferred (or willingness to learn).
- Strong numerical aptitude and attention to detail, with the ability to perform accurate calculations.
- Excellent organizational and multitasking skills.
- Strong phone etiquette and communication skills.
- Proficiency in Microsoft Office Suite (especially Excel and Word).
- Ability to handle confidential information with discretion.
- Plumbing or construction office experience is a plus, but not required—we will train the right candidate.
- Self-motivated, dependable, and adaptable in a fast-paced environment.
