Overview
Join our dynamic finance team as an Accounts Receivable Clerk. Your role is responsible for managing incoming payments, maintaining accurate financial records, and ensuring timely collection of outstanding invoices. In a waste and recycling environment, this role supports billing for residential, commercial, and municipal customers, helping maintain steady cash flow and strong customer relationships
Duties
Billing & Invoicing
- Verify service rates, contract terms, and billing schedules
- Adjust invoices for service changes, missed pickups, or customer disputes
Accounts Receivable Management
- Monitor A/R aging reports and track outstanding balances
- Apply customer payments (checks, ACH, credit card, online payments) to appropriate accounts
- Reconcile discrepancies between payments and invoices
- Manage credit requests
Collections
- Contact customers regarding overdue balances via phone, email, and written notices
- Follow up on delinquent accounts and maintain collection logs
- Coordinate payment plans or escalations when necessary
Customer Service Support
- Respond to billing inquiries
- Resolve issues related to invoices, payments, or account status
- Work closely with dispatch and customer service teams to confirm service details
Recordkeeping & Reporting
- Maintain accurate customer account records in accounting software
- Prepare regular reports (A/R aging, collection status, cash receipts)
- Plan/schedule A/R update meetings weekly with Senior Management
- Assist with month-end closing and account reconciliations
Compliance & Process Improvement
- Ensure adherence to company policies and accounting standards
- Support audits by providing documentation and reports
- Identify opportunities to improve billing efficiency and reduce errors
Requirements
Qualifications
- High school diploma or GED (associate’s degree in accounting or related field preferred)
- 3 years of experience in accounts receivable, billing, or collections
- Experience in service-based or logistics/transportation industries is a plus
- Proficiency in accounting software (e.g., QuickBooks, Sage, or ERP systems)
- Strong attention to detail and accuracy
- Experience in Microsoft products: Excel, Word, & Outlook
- Excellent communication and customer service skills
- Ability to handle multiple accounts and deadlines simultaneously
Preferred Qualifications
- Experience in waste management, trucking, or route-based billing
- Knowledge of contract billing and recurring service invoicing
- Familiarity with municipal or commercial account structures
- Average ability to work within Excel
