Duties
- Assist in managing leasing activities, including property tours, tenant screening, and lease signings, with a focus on upselling available units and amenities.
- Support rent collection efforts. Enforce late fees and administer notices or warnings.
- Coordinate property maintenance requests by liaising with maintenance teams and vendors to ensure prompt resolution of issues, maintaining high standards of property upkeep.
- Maintain comprehensive records using property management software, including lease agreements, tenant files, and service requests.
- Ensure compliance with Fair Housing regulations, Section 8 guidelines (Housing Choice Voucher Program), LIHTC (Low-Income Housing Tax Credit) requirements, and other legal standards governing property operations.
- Handle customer service inquiries via phone or in person with professionalism and courtesy, fostering positive relationships with tenants and prospective residents.
- Assist in marketing efforts by promoting available units through effective communication and negotiation skills to maximize occupancy rates.
- Support legal administrative tasks related to lease contracts, eviction notices, and landlord-tenant law compliance.
- Conduct regular property inspections to monitor safety standards and coordinate necessary repairs or improvements.
- Manage filing systems for legal documents, maintenance records, and tenant correspondence to ensure organized recordkeeping.
- Participate in conflict management by addressing tenant concerns promptly and professionally to maintain a harmonious community environment.
- Collaborate with the team on facilities management tasks such as overseeing security protocols and ensuring proper functioning of building systems (CMMS knowledge preferred).
Qualifications
- Proven experience in real estate administration or property management roles; prior experience with LIHTC or Section 8 programs is a must.
- Familiarity with property management software such as Rent Manager for data entry, leasing processes, and recordkeeping.
- Strong understanding of landlord-tenant law, Fair Housing regulations, and legal contract administration.
- Excellent customer service skills complemented by professional phone etiquette and conflict resolution abilities.
- Demonstrated ability to negotiate lease terms and upsell units effectively while maintaining compliance standards.
- Office experience involving filing systems, data entry accuracy, and administrative support functions.
- Knowledge of facilities management practices including basic property maintenance coordination and CMMS systems is a plus.
- Exceptional organizational skills with attention to detail for managing multiple tasks efficiently.
