What this job involves - The Pre-construction Project Scheduler for a well-known tech client account plays a critical role within the Project Management team. This position is responsible for developing, analyzing, and maintaining highly detailed and data-driven project schedules during the crucial pre-construction phase. You will proactively collaborate with internal teams (Estimating, Capital Planning, Technical Services, IFM, and Project Managers), as well as the client and other key stakeholders, to create realistic, comprehensive, and risk-informed schedules. Your work will reflect operational rigor, enabling successful project planning, bidding, and execution with speed and responsiveness. As a core part of the Built Environment PMO, you will ensure all pre-construction activities—from conceptual design to contract award—are seamlessly integrated, efficiently sequenced, and tracked, providing clear visibility into project timelines and critical path elements, all while fostering accountability and contributing to a future-forward organization.

- Operational Rigor & Data-Driven Insights:
- Develop and maintain exceptionally detailed pre-construction schedules (conceptual, schematic, design development, construction documents, procurement, permitting, bidding, and contract award) using JLL Project Management Software (AdaptiveWork based upon Microsoft Project concepts).
- Conduct rigorous schedule risk analysis to assess potential delays, utilizing data to develop robust mitigation strategies and provide proactive, fact-based insights.
- Analyze historical project data with a focus on root causes, refining scheduling methodologies, and improving forecasting accuracy to get the basics right every time.
- Provide comprehensive, independent analysis of General Contractor schedules, including milestone variance, lookahead plans, risk assessment, performance metrics, and critical path analysis, ensuring no stone is left unturned.
- Integration & Accountability:
- Work closely and collaboratively with project managers, estimators and superintendents to gather all necessary information for comprehensive schedule development, actively mitigating communication seams.
- Facilitate efficient scheduling meetings with internal teams, clients, architects, engineers, and key subcontractors, ensuring clear understanding, validated assumptions, and integrated feedback from all stakeholders.
- Maintain accurate and organized scheduling documentation for auditing and record-keeping purposes, fostering clear accountability across all project phases.
- Collaborate effectively with the PMO team to generate dashboards and reporting, documenting key performance indicators (KPIs) related to project schedules as defined by client stakeholders, ensuring shared ownership of results.
- Speed, Responsiveness & Pro-activity:
- Clearly communicate schedule status, risks, and potential impacts to project stakeholders with urgency and precision, prioritizing the most critical information without unnecessary delays.
- Prepare and present executive-level summaries of pre-construction schedules, enabling swift and informed decision-making by leadership.
- Proactively identify opportunities for schedule acceleration and optimization during the preconstruction phase, challenging the status quo to enhance efficiency and value.
- Contribute to the continuous development and standardization of preconstruction scheduling procedures, templates, and best practices, always seeking to raise the bar.
- Cost Conscious & Future-Forward Organization:
- Support the implementation of the defined standard operating procedure (SOP) for schedule management, leveraging the existing tech platform (Google Workspace tools, etc.), and ensure all schedules adhere to SOP specifications, reflecting smart resource utilization.
- Maintain and provide updates to SOP as needed, anticipating future needs and ensuring continued delivery of client expectations as it relates to schedule management at project and program level.
- Stay current with industry trends, scheduling software advancements (e.g., AdaptiveWork, Primavera P6, Microsoft Project, Smartsheet), and innovative project delivery methods (e.g., Lean Construction, IPD), building capabilities for long-term success.
- Provide training and mentorship on scheduling principles to other team members as needed, investing in talent and tools to lead the organization confidently into the future.
- Bachelor's degree in Business Administration, Management, Engineering, Computer Science, or a related field, or equivalent practical experience.
- Minimum of 3-5 years of experience in project scheduling, with a strong focus on the preconstruction phase for commercial, institutional, or critical lab environment construction projects.
- Proficiency in advanced scheduling software (e.g., Primavera P6, Microsoft Project, Smartsheet, etc.) and a deep understanding of Critical Path Method (CPM) scheduling principles.
- Excellent analytical and problem-solving skills, with a proven ability to leverage data to drive decision-making. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); Google Workspace experience is a plus.
- Strong attention to detail and accuracy, combined with exceptional communication (written and verbal) and interpersonal skills to foster collaborative environments.
- Ability to work effectively, independently and collaboratively in a fast-paced, deadline-driven environment with a proactive and results-oriented mindset. Strong organizational and time management abilities, with a bias for action.
- Professional certification such as PMI-SP (Project Management Institute - Scheduling Professional), PMP (Project Management Professional), or AACE International PSP (Planning & Scheduling Professional) a plus. Experience with various project delivery methods (e.g., Design-Build and Design-Bid-Build) and knowledge of local permitting processes and regulatory requirements, indicating an ability to stay ahead of industry demands.

Salary : $94,300 - $124,100
