What You’ll Do
As our Field Administrative Assistant, you’ll be the critical link between the job site trailer and the corporate office, keeping information flowing and projects on track. This is a hands-on, high-visibility role that keeps construction moving.
Pay Range: $20 – $30 per hour (DOE), FLSA non-exempt (OT eligible).
Here’s what your day-to-day will look like:
- Weekly payroll processing of timecard data to the corporate office with 100% accuracy.
- Handle all office correspondence – incoming/outgoing mail, phone messages, files, and payroll checks.
- Partner closely with project managers, superintendents, field crews, and office staff on mobilization, job tracking, subcontracts, change orders, and reports.
- Schedule and set up conference calls and project meetings.
- Verify phase codes, project numbers, and contract details are correct every time.
- Provide document control support and manage information flow.
- Run errands for the project team as needed (daily/weekly).
- Assist with new-hire onboarding paperwork for field employees.
- Keep the job site office organized, stocked with supplies, and running smoothly.
- Tackle additional tasks as they come up – no two days are exactly the same.
What You Bring
- Experience: Minimum 1 year of administrative support experience (construction industry knowledge is a big plus).
- Education: High school diploma or equivalent.
- Skills: Proficiency with Microsoft Office (intermediate Excel) and Smartsheet. Experience using Bluebeam for PDF markups and editing. Familiarity with Procore, Autodesk Construction Cloud, and/or Vista is preferred. Excellent oral and written communication.
- Mindset: Laser-focused attention to detail and data accuracy. Comfortable switching between office work and active construction environments. Proven ability to prioritize, multitask, and stay calm in a fast-paced setting. Self-starter who needs minimal supervision. Professional and courteous, even when things get hectic. Energetic, organized, and eager to take on new challenges.
- Requirements: Valid driver’s license and clean driving record.
- Travel: Ability to travel to various job sites and occasionally support construction shutdowns (1–6 weeks at a time, multiple times per year – travel fully covered).
Physical Requirements
You’ll move frequently between office trailers and active construction sites. In the office: prolonged sitting, computer work, repetitive typing, and phone use. On-site: standing/walking on uneven ground for long periods, climbing stairs, kneeling, crouching, crawling into tight spaces, and occasionally lifting up to 40 lbs. You’ll work outdoors in all weather, wear full PPE (hard hat, safety glasses, steel-toed boots, etc.), and maintain good vision/hearing for reading plans and communicating. Flexibility for occasional overtime or non-standard hours is required. Reasonable accommodations are available.
