Description
The SSRS Admin Support is responsible for providing mentoring and leadership with the HISS program and under the direction of the Social Services Director. The SSRS Admin support will oversee scheduling, reporting and coordination of daily activities within the program.
Responsibilities and Duties
Coordinates the daily operation of the HISS Program, including but not limited to:
- Coordinates scheduling, assigning work, and monitoring the quality and quantity of program services.
- Oversees the process completion of necessary client records, information and statistical reports via use of an Electronic Health Record (EHR) and provides management with appropriate information in a timely manner; monitors and revises information systems as needed to accomplish the above.
- Assists in the planning and development of program and client services with immediate supervisor and/or members of the agency’s management team.
- Monitors trends, needs, and activities of client populations and relays information to the Department Director.
- Serves as a primary contact for clients via phone, email and face-to-face meetings for purposes of scheduling and work assignments.
- Participates in program and agency Quality Assurance/Improvement activities and initiatives.
- Serves as Jewish Family Services’ primary liaison to the Claims Conference on Jewish Material Claims Against Germany by completing quarterly reports, updates in Diamond and updates in Fluxx.
Maintains individual client caseload, including such activities as:
- Participates in intake processes and procedures.
- Interview/counsel clients, assess and arrange for services and supports that best meet clients’ identified needs and monitor the effectiveness of these supports and services on an as needed and/or crisis basis.
- Coordinate acute and primary health care services, ensure necessary education is completed, and proper follow-up care is obtained.
- Assist in completing applications to the Claims Conference, The Blue Card, government benefits, and long-term care programs.
- Provide advocacy with the Social Security Administration, Immigration, Housing Authority, residential apartment management, etc.
- Assist with the preparation of forms, documents, and the filing of various financial and legal documents.
- Provide English translation of documents and verbal interpretation services at appointments.
- Makes presentations to various groups to educate on Holocaust Survivor, resettlement, and immigrant issues, needs and activities, and to promote the brand identity of the agency.
- Confers with SSRS Supervisor on regular basis and participates actively in supervisory process.
Surlow Apartments Case Management maintenance, including:
- Participates in intake processes and procedures.
- Interview/counsel clients, assess and arrange for services and supports that best meet clients’ identified needs and monitor the effectiveness of these supports and services on an as needed and/or crisis basis.
- Ensures completion of necessary client records, information and statistical reports via use of an electronic health record (EHF) and provides management with appropriate information in a timely manner.
- Assist with the preparation of forms, documents, and the filing of various financial and legal documents, including applications to the Claims Conference, The Blue Card, government benefits, and long-term care programs.
- Provide English translation of documents and verbal interpretation services at appointments.
- Confers with SSRS Supervisor on a regular basis and participates actively in supervisory processes.
General
- Must have a valid driver’s license, access to reliable vehicle, and automobile insurance coverage throughout employment and successfully pass a MVR and insurability check.
- Knowledge, understanding, and/or willingness to learn Jewish culture and traditions and those of the Agency population as necessary.
- Accept other duties and responsibilities as assigned.
- Candidates must successfully pass a criminal background check with the Wisconsin Department of Justice and a caregiver background check with the Wisconsin Department of Health Services, the Department of Children and Families and the Department Safety and Professional Services.
- Candidates must pass a Dru Sjodin National Sex Offender and Wisconsin Sex Offender Registry screening.
Requirements
- At least a High school diploma or GED required. Post-secondary degree or diploma preferred.
- At least 2 years’ experience working in Human Services, Social Services or Administrative assistant duties or related field.
- At least 2 years of supervisory/management/leadership experience preferred.
- Must have excellent interpersonal, organizational, critical thinking, problem solving, creative and independent thinking skills. Excellent verbal and written communication skills are required.
- Excellent customer services skills are required.
- Able to make accurate assessments, interact effectively with consumers, agency staff, and other community professionals within a team concept.
- Must be able to handle multiple tasks simultaneously and prioritize based on severity of need.
- Ability to establish and maintain effective working relationships with team members and others.
- Skill in operating personal computers and software (including Microsoft Office applications).
- Knowledge of acceptable professional standards of care.
- Ability to interpret policies, procedures, and regulations.
- Ability to work independently.
- Ability to exercise professional judgment and reach sound decisions.
- Ability to learn, remember, and integrate complex concepts, difficult procedures, or complicated processes
Salary : $30,000 - $38,000
