The Jewish Women’s Archive (JWA) is a global organization devoted to collecting and promoting Jewish women’s* stories and voices, to ensure a more accurate historical narrative and a more inclusive future. Founded in 1996 as an innovative online archive, JWA has become the world’s largest source of information on Jewish women and has built a wide range of online and public programs that provide education and insight and spark conversation and change.  


*JWA embraces expansive understandings of Jewishness and gender. We include Jews from all backgrounds and those who are non-binary, genderqueer, or gender-questioning.  


Position Summary 


The Development and Executive Assistant provides critical support to the functioning of the JWA team. They manage day-to-day office and staff needs, coordinate fundraising tasks and manage the donor database, serve as an external contact person for the organization, and act as liaison to the Board of Directors. This position requires a detail-oriented, well-organized individual with problem-solving skills, commitment to organizational culture, and ability to communicate with multiple stakeholders. They should be able to work both independently and as a member of the team, juggle multiple tasks, take initiative, and have a professional demeanor at all times. 


Primary Responsibilities 


  • Development administration: Process all donations to JWA and prepare gift receipts and acknowledgment letters. Manage DonorPerfect donor database. Generate reports and lists of donor segments. Assist in preparing appeal mailings and other development communications and assist with grant proposal documentation.  
  • Development research and fulfillment: Engage in development research for both individual prospects and institutional/foundation grants using philanthropic databases and internet searches. Manage shared grants calendar and grant reporting process.  
  • Office management and staff support: Ensure efficient running of the JWA office including keeping office supplies stocked, managing internal calendars, and coordinating celebration of staff milestones. Provide administrative project support to staff. Maintain a positive and welcoming office culture for existing and new staff. 
  • External relations: Act as the first point of contact for JWA, ensuring external constituents have a friendly, helpful, informative experience with the organization. Serve as point of contact for external organizations including mailhouses, caterers, and event partners. Respond to external inquiries that come in via email, phone, and website. Maintain up-to-date contact information in databases, monitor website’s comment sections, and manage store orders. 
  • Support Chief Executive Officer: Support CEO’s scheduling and travel. Coordinate meetings with internal and external stakeholders, provide relevant prep materials and appropriate follow-up. Communicate directly on behalf of the CEO with board members, donors, and other staff. Work on special projects for the CEO as assigned. 
  • Board liaison: Manage communication with Board of Directors. Schedule, organize logistics and materials for, and attend regular Board meetings. Compile meeting minutes. Maintain professional demeanor and interaction with Board at all times. 
  • Fundraising Event Coordination: Manage guest lists, prepare materials, and organize logistics for board and donor cultivation events. Occasional travel required. 


Qualifications 


  • Excellent written and oral communication skills. 
  • Strong interpersonal and customer service skills: must be courteous, professional, and helpful in person, on the phone, and in written communication. 
  • Ability to prioritize multiple tasks and work under tight deadlines. 
  • Close attention to detail. 
  • Ability to work as a member of a team. 
  • Fluency with Microsoft Suite and Google Suite. 
  • Experience with data entry. Familiarity with DonorPerfect or similar CRM or grants database is a plus. 
  • Ability to do thorough and creative Internet research. 
  • Interest in nonprofit development or in learning about the work of development. 
  • Able to work occasional evenings and weekends. 
  • Commitment to the mission of JWA and eye towards Diversity, Equity, and Inclusion.  


Compensation/Benefits 


The salary for this position is $54,000-$60,000, commensurate with experience. This full-time position is eligible for a generous benefits package, including health and dental insurance, life insurance, long-term and short-term disability, paid parental leave, 403(b) contribution, and FSA.
