Job Summary:
Under the supervision of the Chief Financial and Administrative Officer, the Database Coordinator is responsible for oversight and completion of informational and financial data entry processing and reporting in the organization’s donor database software. This position will work closely with the Development team to ensure high standards in data integrity and maintain accurate, effective and accessible records and reports that support Charlotte’s fundraising, prospecting, campaign and event activities. The Database Coordinator will serve as the internal database expert, able to confidently fulfill user requests, perform system maintenance, and define/document best practices and policies for data integrity.
Job Responsibilities and Essential Job Functions:
CRM Database Responsibilities:
· Oversight of constituent & informational data entry into CRM; assist with pledge and payment entries when necessary.
· Produce mailing lists for all donor and community-related mailings, e-blasts, and special events.
· Assist staff with creating and maintaining events in the event module of CRM.
· Produce pledge cards for all fundraising events throughout the year.
· Produce pledge and payment acknowledgement letters and postcards.
· Producing and mailing reminder statements and annual tax substantiation letters to donors.
· Liaise with the Finance Department on the monthly reconciliation of pledges and payments and other reporting needs.
· Manage the rollover process into new campaign years in CRM.
· Work with Marketing and Development teams to plan and execute direct mail efforts, including creating marketing efforts in CRM and producing data lists.
CRM Database Reporting:
· Create and manage database reports, visualizations and dashboards.
· Creating and maintaining queries & export definitions in CRM.
Database Maintenance:
· Establish and maintain strong CRM data hygiene through data integrity testing, data clean-up tasks and system maintenance procedures.
· Ensure the hosted CRM environments (staging and production) are maintained appropriately (tracking the testing, development, upgrades, etc.) and are easily accessible by authorized users.
· Set-up, schedule and monitor database system processes and queues.
· Investigate and troubleshoot errors encountered by users and escalate cases to support where needed.
Team Support:
· Work cross-departmentally to identify needs and develop/implement database-related processes and instructions that optimize fundraising objectives and improve organizational efficiencies.
· Develop systems and strategies to enable tracking, oversight and delivery of key projects, including organizational dashboards.
· Train and maintain the knowledge level of all staff on the use of the database, including creating documentation of best practices and procedures, with the goal of empowering staff to be able to perform tasks independently going forward.
Perform other duties and responsibilities as required, assigned, or requested.
Key Skills and Qualifications:
· Strong computer skills, specifically in Microsoft applications (Dynamics, Word, Excel, Outlook, Teams and Power BI). Experience with Blackbaud’s FENXT and Blackbaud’s CRM (or other nonprofit software) is preferred but not required. Microsoft certification is a plus.
· Advanced skills with project management software, and an aptitude for learning new software and systems.
· Strong attention to detail and accuracy.
· Self-motivated with ability to prioritize multiple demands and meet deadlines.
· Outstanding verbal, written and interpersonal communication skills
· Possess a positive attitude and be a proven team player.
· Ability to handle confidential financial and personal information with discretion and sensitivity.
Preferred Education:
Bachelor’s Degree preferred but not required.
Required Work Experience:
· 3-5 years of CRM related work experience.
Other Job-Related Requirements:
· This position requires weekday office hours plus occasional weekends or evenings with the ability to create a limited hybrid work environment.
· This position must be based in the greater Charlotte area.
