What are the responsibilities and job description for the OAS Program Assistant position at Jewish Family Service Association of Cleveland?
JFSA of Cleveland is a health and human services Agency that has provided world-class services for the Jewish and non-Jewish communities in Northeast Ohio for 150 years. We have an immediate opening for a part-time (25-29 hours/week) administrative support professional to work within our Older Adult Services Division. This is an office-based role, Monday through Friday, with some weeknights to support programming.
Duties and Responsibilities:
- · Provides administrative support for multiple programs within the Older Adult Services division.
- · Provides essential support for several complex grant-funded programs, including but not limited to the Holocaust Survivor Support Program, Dementia Caregiver Support Groups, Caregiving with Confidence, Shuttle-On-The-Go, Lifeline and others.
- · Manages the client database and client files, including data entry, electronic record keeping, and other related tasks. Creates paper files, if needed.
- · Schedules routine departmental meetings and actively participates in meetings; diligently records/drafts minutes.
- · Assists with activities (as assigned) supporting grant-funded programs.
- · Assists the Holocaust Survivor Support Program Grants Officer by preparing correspondence, scanning, and uploading documentation. Ensure timely and accurate data entry activities. Generate reports as needed.
- · Generates all large-scale department mailings, including but not limited to monthly client newsletters, monthly Lifeline responder letters, client satisfaction surveys for all OAS programs, and other agency correspondence as needed.
- · May assist with clerical tasks, scheduling, phone calls in the Home Delivered meals program and/or transportation program as needed.
- · Dispenses incoming correspondence in a timely manner, including mail, faxes, email, and other files. Follows up on requests for documents quickly and efficiently.
- · Provides backup support/coverage for other administrative support staff as needed.
- · Ensures the department has adequate office supplies, placing orders when needed.
- · Demonstrates awareness of all safety policies and procedures and adheres to safe work practices.
- Performs other duties as assigned
