Job Summary
We are seeking a highly organized and proactive Office Coordinator to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and have experience in office management. This role requires excellent communication and organizational abilities to ensure smooth workflow and effective team collaboration. The Office Coordinator will be responsible for managing schedules, coordinating events, and supporting various administrative functions.
Duties
- Oversee daily office operations, ensuring efficiency and productivity.
- Manage calendars, schedule appointments, and coordination meetings for patients/staff.
- Plan and organize patient intake including referrals and chart coordination
- Supervise office staff, providing guidance and support as needed.
- Handle scheduling appointments, insurance verifications and referral processes
- Assist in human resources functions such as onboarding new employees
- Maintain accurate patient records/charts.
- Ensure proper filing systems are in place for easy access to documents.
- Provide clerical support including answering multi-line phone systems, greeting visitors at the front desk, and managing correspondence.
- Implement processes from the beginning of intake process to management of carryover of patient care.
Skills
- Strong event planning capabilities with attention to detail.
- Supervising experience with a focus on team management.
- Proficiency in Google workspace.
- Excellent schedule management skills to prioritize tasks effectively.
- Experience in vendor management to maintain productive supplier relationships.
- Knowledge of human resources processes including efficiency of scheduling needs
- Previous office experience with a focus on administrative functions.
- Strong clerical experience with an emphasis on organization and filing systems.
- Familiarity with medical office management is a plus.
- Exceptional communication skills for effective interaction with team members and clients.
- Outstanding organizational skills to manage multiple tasks simultaneously.
- Proficient in calendar management to optimize scheduling efficiency.
