The well-established flight operation conducts international flights with three ultra-long-range, large cabin business aircraft. The account is adding to the operations and scheduling team.
Assigned work hours vary—long days may be followed by short days and night shifts may be required 4 – 5 periods per month. The preference is to start the role as soon as possible.
SCOPE OF WORK OVERVIEW
The primary function of the role supports the following corporate aviation components:
- Executive travel data for the development and execution of the flight schedule
- Flight operations information liaison to executive travel teams and flight crews
- Corporate aircraft flight following and status and trip updates
- Administrative and logistical support for departures and arrivals
RESPONSIBILITIES
Supporting tasks for the private aviation program include but are not limited to:
- Collect and disseminate executive travel data throughout the team to facilitate mission planning and execution
- Research and procure lodging, coordinating directly with hotels to confirm VIP status and ensure all other lodging requirements are fulfilled
- Arrange ground transportation, coordinating directly with vendors to schedule cars, confirm details, and ensure all ground transfer requirements are fulfilled
- Reconcile and archive trip expenses and cost documentation
- Follow aircraft and trips in real time—Schedulers are on call 24/7
- Archive operations data and trip feedback from all stakeholders
- Assist with passport and visa requirements for key executives
- Assist with data management for the flight operation’s reporting requirements
- Support special projects as required
EXPERIENCE
The ideal candidate for this position will have the following qualifications:
PREFERRED SKILLS & ATTRIBUTES
- Knowledge of travel operations, travel data reporting, and managing travel vendors
- Prior experience with flight scheduling
- Knowledge of corporate aviation functions and performance
- Undergraduate degree
REQUIRED SKILLS & ATTRIBUTES
- A strong focus on customer service, including accessibility after hours
- A minimum 3 years of experience in private aviation and/or executive travel
- Thrive in a fast-paced environment and work with alacrity
- Be comfortable working in a dynamic environment—flexible, positive, and productive
- Exhibit highly organized, business acumen, pursuing multiple tasks simultaneously
- Manage confidentiality without exception—demonstrate good judgment
- Familiarity with standard MS Office tools (Excel, Outlook, PowerPoint, Word)
- Ability to maintain composure during stressful situations
