Job Title: Administrative Assistant to the CFO

Position Overview:
We are seeking a highly organized and proactive Administrative Assistant to support the CFO of our growing construction company. The ideal candidate will play a key role in maintaining financial operations and office efficiency, ensuring smooth communication, and handling sensitive information with discretion. This role requires a detail-oriented professional with strong organizational skills and a solid understanding of business and financial procedures.
Key Responsibilities:
Administrative Support:
- Manage and maintain the CFO’s calendar, appointments, and travel arrangements
- Prepare and edit correspondence, communications, presentations, and other documents
- Organize meetings, including preparing agendas, taking minutes, and following up on action items
- File and retrieve corporate documents, records, and reports
Financial & Project Support:
- Assist with preparing financial reports, spreadsheets, and basic analysis as needed
- Help process invoices, purchase orders, expense reports, and credit card reconciliations
- Support coordination of budget planning and financial tracking
- Liaise with accounting/bookkeeping, vendors, banks, and other external contacts
Office & Documentation:
- Maintain document management systems for financial and administrative records
- Support compliance and audit documentation as needed
- Help manage vendor contracts and insurance certificates
- Order office supplies and assist with general office administration tasks
Qualifications:
- Associate’s or Bachelor’s degree preferred but not required, especially in Business Administration, Finance, or related field
- 2 years of administrative experience; prior experience supporting executives or working in the construction industry is a plus
- Proficient with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and cloud-based systems (e.g., Google Drive, QuickBooks, or other accounting software)
- Strong organizational, communication, and interpersonal skills
- Ability to handle confidential information with integrity
- Attention to detail and ability to work independently in a fast-paced environment
